Executive Assistant
FLSA Status: Exempt Approved Date: 08/26/2024 Approved By: Chief Financial Officer Job Title: Executive Assistant Department: Administrative Summary Schedules appointments, gives information to callers, takes notes, potential travel to and from plants and otherwise relieves management staff of a wide range of routine and non-routine administrative and business detail by performing the following duties. This position would report directly to the Chief Financial Officer and handle duties primarily for the Finance, IT, Purchasing, and Legal departments. Essential Duties and Responsibilities include the following. Other duties may be assigned as needed. + Composes, edits and types routine correspondence. + Create charts, spreadsheets and merge files. + Organizes and maintains file system, and files correspondence and other records. + Answers and screens managers telephone calls, and arranges conference calls. + Coordinates schedules and provide representation in meetings for managers if needed. + Arranges and coordinates travel schedules, reservations and creates agenda when necessary. + Conducts research, and compiles and types statistical reports. + Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings. + Makes copies of correspondence or other printed materials. + Prepares outgoing mail and correspondence, including e-mail and faxes. + Documents and tracks action items to closure + Prepares expense reporting, when needed. A.) from four-year College or University; or five to ten years related experience and/or training; or equivalent combination of education and experience. Language Skills Ability to read and interpret documents such as proposals, MS word files, PowerPoint files, etc. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Computer Skills To perform this job successfully, an individual should have knowledge of Internet software; Presentation software; Spreadsheet software (i.e. Microsoft Excel) and Word Processing software. Being highly proficient with Microsoft Excel is a plus. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
