Reporting to the Director, US Operations, the Executive Administrator is responsible for the day-to-day office maintenance activities including reception, facilities and administrative functions

 

What You'll Do Here 

 

Reception 
•    As first point of contact for company, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions

•    Ensure that every guest is signed in
•    Maintain the reception area in a tidy and presentable manner
•    Answer incoming calls; refer all inquiries to the appropriate individuals, divisions, or departments across the organization 

•    Observe and report any security issues
•    Organize gifts and office events, as needed
•    Assist in large item and special mailing requests

 

Facilities
•    Plans, co-ordinates and oversees the day-to-day building operations and maintenance 

•    Point of contact for Aecon employees with regard to building operation and maintenance issues 
•    Co-ordinates and manages the acquisition and installation of furniture for Aecon employees
•    Issue out FOB’s for building access as required; cancelling when no longer needed 

•    Maintain floor plan and office email distribution lists

 

Travel Arrangements & Expenses 
•    Make travel arrangements for senior leaders as required
•    Complete expense reports and submit to Concur for processing 

•    Update and maintain travel profiles 

 

Administrative Responsibilities
•    Overall office coordination

•    Coordinate and maintain senior leadership calendars
•    Act as lead for, administration, registration and coordination of office social events
•    Book and maintain meeting rooms as required 

•    Order office supplies, including stationary tea and coffee
•    Accept deliveries and distribute mail
•    Backfill other corporate business functions as needed
•    Other duties as assigned

 

What You Bring To The Team

 

•    Post secondary education in Business Administration or similar
•    3-5 years of experience as an Executive Assistant/ Receptionist/ Facility administration
•    Self-starter, resourceful and able to work independently 

•    Excellent planning, problem solving and organization skills 

•    Ability to prioritize tasks and handle multiple projects on tight deadlines
•    Excellent communication skills, verbal and written; dealing tactfully with peers, clients, visitors and suppliers
•    Excellent computer skills using MS Office Products
•    Must be able to deal with sensitive issues in a confidential manner
•    Knowledge and compliance of Aecon safety policies and procedures
