Executive Assistant
Overview As an Executive Assistant, you will be a critical member of the bank’s Strategy Office providing support to multiple Executive Directors. The Executive Assistant performs a wide range of key administrative and staff support duties at an advanced complexity level including maintaining executives’ schedules, arranging meetings and appointments and providing reminders. Coordinates special projects for the department, including reporting, budget monitoring, and developing timelines and meeting agendas. Enhances workflow by assisting with documentation, communication, and scheduling. Interfaces with all levels of leadership and associates within assigned business unit, and may have direct client contact. Receives and responds to correspondence. Prepares reports, maintains files, and performs other duties as related to administration. Acts as a department liaison or resource through knowledge of daily operations. Makes travel arrangements and manages corporate expenses related to travel. Manage in-person meeting logistics, including catering and tech support for presentations. This position is local to Raleigh, NC and an in-office presence is required. Responsibilities • Support - Responsible for complex assistance and support, assessing and resolving issues that affect executive performance. Maintains in-depth knowledge of company operations, policies, and procedures to solve challenges before they escalate. Manages highly confidential and critical projects to allow executive focus on high-priority items. • Documentation - Prepares and maintains a variety of records. Compiles Board-level meeting materials. Provides financial and business data management. Compiles information and utilizes reports to bring key factors to executive attention. • Scheduling - Manages executive calendars on a daily and weekly basis to ensure focus on the highest priority and impact areas. Coordinates all planning and preparation aspects of meetings, travel plans, and other events, arranging necessary logistics and materials. • Communication - Manages incoming and outgoing communications. Collaborates successfully with management and associates in completion of daily administration duties. Acts as a liaison to stakeholders, associates, and third parties on the executive's behalf. Qualifications Bachelor's Degree and 1 years of experience in Advanced Administrative roles OR High School Diploma or GED and 5 years of experience in Advanced Administrative roles Preferred Qualifications: • 10+ years of experience supporting senior levels of leadership • Experience supporting multiple leaders • Intermediate to Advanced Microsoft Office skills, specifically Word, Excel, Outlook and PowerPoint • Experience with calendar management • Experience with travel planning and management • Experience with expense reporting • Meeting planning experience including offsite events • Concur experience is a plus • Administrative support experience within financial services is a plus First Citizens benefits programs are designed to meet our associates where they are in life.
