Job Description

BESIX Watpac is seeking an Executive Assistant to provide secretarial and administrative support to a Senior Executive on a 13-month fixed term parental leave contract.

The key responsibilities of this position include:

Diary management, proactive email management and travel coordination.Managing and screening incoming and outgoing communications.Scheduling of meetings and events, including liaising with internal and external clients.Coordinate leadership team meetings, including catering.Process accounts / invoices and prepare for signing.Manage expense claims and credit card reconciliation.Other administrative and office management tasks as required.

Qualifications

The incumbent in this role will require the following qualifications and experience:

Experience in an Executive Assistant role managing senior executives, preferably within a large national or international organisation.Demonstrated focus on timeliness, accuracy and punctuality.Proven capacity to produce high quality reports and documents in a timely manner for internal and external purposes.Advanced knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and ability and willingness to learn new software packages as required.Ability to manage shifting work priorities and meet deadlines.Professional verbal and written communications skills.Proven high level of professionalism and confidentiality in daily work ethic.
