**Responsibilities**
Essential Function
Function as liaison between the Executives and others.
Coordinate the schedules and maintain calendars of the Executives to include scheduling meetings and
confirming appointments in order to ensure ample meeting time based upon nature and content of meetings.
Coordinate and arrange meetings, prepare agendas, copy meeting packets, reserve conference rooms, order
food, and transcribe minutes in a timely manner for meetings as requested.
Compose and proofread correspondence, memos, and reports for Executives as well as preparing
correspondence on own initiative or from verbal instructions and assemble necessary supporting documentation.
Exercises positive interaction with customers (patients, visitors, physicians, team members, vendors.)
Deals effectively with stressful situations.
Takes ownership of the customer’s problem.
Identifies ways to improve service and introduce new work procedures that save time, money and effort.
Applies the knowledge and skill needed to execute assigned duties timely and well.
Keeps informed about practices, procedures, and new developments related to work.
Willing to work extra, if needed.
Is flexible, copes successfully with a variety of situations and simultaneously needed deliverables, personalities,
and the changing work environment.
Offers assistance to peers.
Recognizes and performs duties which need to be performed, although not directly assigned.
Attends all required in-service and meetings.
Adheres to established dress code and presents professional image always.

Answer and screen the Executive’s phone calls and arrange conference calls.
Return phone calls and respond to emails in a timely manner.
Update phone and practice listings monthly.
Arrange and coordinate travel schedules and reservations to include transportation and lodging, preparing
related itineraries and maintain accurate records for reimbursement purposes. Reconcile expenses through
Concur in a timely manner.
Miscellaneous responsibilities such as coordination of flowers/donations at death of physicians’ immediate family,
weekly email announcements, filling in at Reception desk and maintaining schedule, and reserving conference
rooms.
Maintain privacy and confidentiality.
**Qualifications**
Education:
Associate Degree in Secretarial Science, Business or Office Management;
or high school graduate with training in the secretarial sciences and five years experience instead of formal training.
Experience:
Five years, preferably in the healthcare field.

**Pay Range**
$18.74 - $25.77 /hour
