From actionable ideas to highly tailored financing solutions, M&A advice, and a strong lineup of capital markets and treasury services, CIBC Capital Markets teams can provide the capabilities that clients need to help capitalize on opportunities and manage risk. As an Executive Assistant, you will provide day-to-day office support to one or more senior Executives and their teams within the Global Corporate Banking business in Capital Markets. The role is accountable for providing administrative and operational support and ensuring timely and effective delivery of assigned projects and tasks, contributing to the effective and efficient operation of the business group. _At CIBC we enable the work environment most_ _optimal_ _for you to thrive in your role._ _To successfully perform the work,_ _you’ll_ _be on-site full-time._ **How You’ll Succeed** + **Executive Support:** Organize the activities of the Executives and provide administrative support using independent judgment, discretion and diplomacy. Anticipate needs and initiate appropriate action to ensure the most effective use of the Executives' time and attention, as well as your own. Briefing the Executives before appointments or meetings with appropriate background information, as required. + **Calendar Management:** Screen requests, managing and administering several calendars. Proactively identifying issues to determine priorities for Managing Directors and their teams and pivot accordingly. Serve as the point person to maintain all calendar appointments and ensure meetings are scheduled with urgency and prioritized accordingly. This includes complex calendar management and being the owner for several large meetings and associated logistics (room bookings, site access arrangements, technology coordination and catering requirements). + **Travel Arrangeme** **nt** : Coordinate, manage and arrange all travel requirements, including airline reservations, hotel accommodation, airport transfers and monitor for last-minute changes while ensuring policy adherence. + **Administrative Duties** : Provide ongoing administrative support, such as briefing Executives before appointments or meetings with appropriate background information from computer information systems and/or files. Develop administration procedures, and processes to respond to the operating style of the Executives. Maintain administrative procedures and processes for the Executive and team; for example, preparing expense accounts and ensuring they are kept in good order and maintaining a comprehensive diary (usually computerized). Provide back-up coverage to other Executive Assistants within the team. + **New Hire Onboarding/Offboarding:** Onboarding/offboarding for new/departing staff including the coordination of technology access, office set up and building access; ordering business cards, corporate phones, and corporate credit card as required; ensuring that all compliance requirements and internal policies are met. + **Document Support:** Ability to work proficiently in Excel, Power Point and other Microsoft Office applications in order to build clean and well-organized slides and reports consistent with the corporate look and feel. **Who You Are** + **You’re an experienced administrative professional.** You have a minimum of 3-5 years of experience as an Executive Assistant in a highly professional, confidential and fast-paced environment **.** + **You’re a strong communicator.** You have excellent verbal and written communications and interpersonal skills to interact with a wide range of individuals in a wide range of situations, which usually requires tact, diplomacy, and discretion. + **You’re digitally proficient.** You have strong command of MS Office suite including Word, Excel, PowerPoint, Outlook. + **Detail Oriented** . You understand that success is in the details. You notice things that others don't. Your critical thinking skills help to inform your decision making. + **You are comfortable in a fast-paced environment.** You have excellent organizational and time management skills and the ability to multitask.
