Become an integral part of the Health and Wellness team, Reporting to the Global Medical Director. You will be a valued member of the collaborative Health and Wellness team, supporting a department that operates 21 onsite health clinics across the U.S. and meaningful wellness initiatives that serve more than 180,000 employees.
As an Executive Assistant in Health and Wellness, you will work closely with executive leadership, utilizing attention to detail, sound judgement and organizational skills to further the goals of the department. The incumbent will effectively and efficiently manage calendars, coordinate meetings/travel, execute operational processes/tasks and interact with clinicians, employees seeking medical support, teammates, external suppliers and internal stakeholders.
Job Responsibilities
Support various administrative priorities primarily for the Health and Wellness department under the direction of the Global Medical Director.Manage calendars across executive team; report on upcoming travel and/or absences on regular basis; schedule and coordinate appointments/meetings, as directed.Assist in preparing agendas, reports, meeting notes, spreadsheets, presentations and contact/distribution lists.Assist team with access requests and staff onboarding/offboarding processes.Track staff and clinic licenses/credentials regularly, communicating upcoming expiration dates, as applicable.Potentially support other initiatives across the Benefits team, including but not limited to managing requests for temporary office space within the Health and Wellness Center from traveling Benefits executives.Process approved invoices, membership/license renewals and T&E expense claims for team members, ensuring all policies/processes are followed on time and within provided guidelines.Provide assistance and coverage for other Health and Wellness Center administrative team members working in the NY-NJ health centers, as needed, including interacting directly with JPMC employees and nurses to complete front desk tasks, when needed.
Required Qualifications, Capabilities, and Skills
At least five years of experience working with senior level management in a complex, fast-paced corporate and/or medical work environmentStrong interpersonal and written/verbal (telephone or in person) communication skills; ability to adapt working/communication style for all levels within the department, including Senior Management as well as employees and cross-functional stakeholdersTechnical skillset: High level of confidence using Word, Excel, Powerpoint, Outlook and Teams; Ability and willingness to effectively learn new systems/processes to support administrative tasks.Sense of urgency and commitment to high-quality service; Willingness to support other administrative team members in times of absence or high-volume projectsAbility to prioritize and escalate when appropriate; Handle regular activities without prompting, and advise in advance with issues or delaysSound judgment and discretion in handling confidential and sensitive information
