This Executive Assistant role is viewed as a true partnership with the General Manager and Vice President of Reuter-Stokes and the Reuter-Stokes Leadership team, supporting them through administrational management, business project execution and driving employee engagement.
PURPOSE
Perform, coordinate, and oversee office administrative duties while providing an extensive level of support to the Reuter-Stokes VP & GM and the Leadership Team. Ensure managers make the best use of their time and are relied on to handle workload effectively and efficiently. Build value for the business and the leadership team by anticipating needs and prioritizing projects.To view their role as a partnership and long-term collaboration with their manager/s. Successes are achieved as a mutual accomplishment, encouraging the true atmosphere of teamwork and solidarity between EA and executive/s. A strong commitment to the goals of the business and its executives is a must. Executive Management
Providing high-level management support for the VP & GM and the Senior Leadership team.Proactively coordinate calendars comprising of meetings, events, travel, and personal events.Planning, scheduling, and preparing business meetings and travel documents and bookings, including visa management and accommodation.Preparing and reconciling expense reports.Preparing presentations, reports, spreadsheets, and other business documents as required.Providing discrete and confidential coordination of sensitive company information as required.Anticipating needs and accomplishing responsibilities without direction.Preparing, designing, and distributing communications on behalf of the executive.Leadership Team

To be successful in this role, you will:
Have a High School Diploma or equivalent. Some College preferred.Have advanced computer skills, including advanced knowledge of MS Office software packages and/or advanced knowledge of Enterprise Resource Planning software such as SAP, Workday or equivalent software, and other business critical applications.Have 5+ yrs. of general business experience or executive assistant experience supporting senior management.Have experience working directly with senior executive leadership.Have excellent organization skills and the ability to work collaboratively in a team-based environment.Demonstrate excellent oral and written communication skills.Demonstrate initiative and proactiveness.Demonstrate sound judgment and ability to make reasonable decisions.Demonstrate a high level of confidentiality.Be comfortable with leading initiatives and engagement plans.Work in a way that works for you
