Northrop Grumman Mission Systems is seeking an Executive Administrative Assistant to support the Director and leadership team within Life Cycle Sustainment Operations (LCSO) located in Elkridge, MD. 

The successful candidate will work collaboratively with the administrative and operations team located across Maryland. This is an exciting, dynamic, and highly visible environment supporting the advancement of our team and its contribution across all conceivable mission areas. 

Position is located in Elkridge, Maryland

Requires someone to come into the office, cannot accommodate a hybrid/telecommute schedule.

Schedule is 9/80A, with every other Friday off.

The ideal candidate is experienced, pro-active and detailed oriented with strong communications skills who can build relationships at all levels. Strong integrity is essential, as the candidate will have exposure to sensitive information. A successful candidate will work well under pressure and complete requirements in a fast-paced, multifaceted environment.  

What You’ll Get to Do:

Coordinate business meetings with executives, leadership, and teams. Be able to deconflict and re-work schedules.

Arrange, maintain, and modify the Director’s schedule, travel arrangements, and any associated commitments and activities.

Handle confidential business matters and maintain effective and efficient organization of administrative requirements.

Prepare correspondence.

Track and status incoming and outgoing customer and executive communications, commitments, deliverable product disseminations, and other engagement related communications.

Receive visitors including NG visitors from all sectors, customers, and other contractors.

Handle information requests.

Coordinate staff meetings and status the actions that come up during the meetings.

Use Microsoft Office to develop and maintain organization charts, produce reports, presentations, spreadsheets, and manage email and calendars.

Responsible for onboarding and off boarding employees.

Use Microsoft Teams and SharePoint for team coordination, document management and overall collaboration.

Assist in preparing presentation materials.

Exercise decision making skills using professional judgment and tactful implementation

Apply organizational skills to manage and prioritize multiple tasks and situations

Arranging meetings by generating and allocating invitations as directed in addition to reserving meeting rooms. This may include coordination at multiple site locations across time zones and teleconference or webcast requirements 

Organizing catering, audio/video/webcasts/IT support, and other essential services as needed 

Answering incoming calls and providing support as required and responding to general requests 

Serving as a focal point for communication and distribution of information amongst the leadership team and staff 

Assisting with organizing events and activities of organization initiatives that involve support from other department administrative assistants 

Basic Qualifications:

High School Diploma with a minimum of six years additional education and/or professional experience supporting Director/Executive Leadership

Strong written and verbal communication and collaboration skills

Computer skills required include advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook and Excel), SharePoint (or equivalent), and intranet/internet proficiency

Experience and proficiency with Concur (or similar) travel and expense reporting system

Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities across a geographically dispersed team

Ability to efficiently coordinate Outlook calendar, conference call, and shared link applications.

Highly developed verbal and written communication skills and proven success in organizing, prioritizing, and completing assigned responsibilities

Experience interfacing with executive level internal and external contacts with considerable autonomy

Experience coordinating both on and off-site meetings and/or events

Must be a U.S. Citizen with the ability to obtain and maintain a U.S. Secret Level Security Clearance

                                                                                                                      

Preferred Qualifications:

Active Secret security clearance.  US Citizenship is a prerequisite

Bachelor’s or Associate degree, preferably in business or technical related field

Familiarity with Northrop Grumman’s specific systems (SAP, Concur, Facilities requests, IBUY, etc.)

Knowledge of NGC resources, policies, and procedures

Experience in supporting large teams within an organization

Salary Range: $61,700.00 - $102,800.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
