Executive Administrative Assistant

Purpose:

This position is responsible for the creative workflow process for administrative support to the Executive Team in the disposition of their duties.

Minimum Eligibility Requirements:

College degree preferred and 5 years of executive administrative assistant experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company. Additional relevant experience can be substituted for the required education on the basis of one calendar year of experience for one academic year of education.Advanced experience in MS Office Suite (i.e., Word, Excel, PowerPoint, etc.)Exceptional interpersonal skills.Excellent verbal and written skills in English.Superb organization skills.Calendaring and meeting management experience.Ability to change gears at a moment's notice.Accurate and reliable note-taking skills.Ability to prioritize and multi-task.Extensive experience in making travel arrangements nationally and internationally.Ability to anticipate the needs of the executives.Ability to work in a fast-paced, high energy, and demanding environmentExperience working with senior level executives within and outside the company, as well as with customers, vendors, visitors and other dignitaries.Attention to detail with emphasis on accuracy and quality.

Essential Job Functions:

This position requires a flexible work schedule and the ability and readiness to work beyond the normal work hours. It also requires the ability to handle ambiguity in work plan definition and the ability to adapt to frequent changes in priorities and urgencies of specific project and work assignments.Handle details of a highly confidential and critical nature.Collect and prepare information or use in the discussions/meeting so of executive staff, the Board of Directors and outside individuals.Coordinate meetings and conference calls, including food and beverage, and attend as requested.Manage travel arrangementsTrack and process expense reports.Strategically manage high-level contacts of sensitive nature inside and outside the company.Plan company events, departmental and company off-site activities.Prepare correspondence and reports.Manage express mail services (e.g., UPS, FedEx, etc.)

In addition to other demands, the demands of the job include:Maintaining composure in dealing with authorities, executives, clients, staff and the public, occasionally under conditions of urgency and in pressure situations.Limited travel required including air and car travelThe noise level in the work environment is typically quiet.Required ability to handle multiple tasks concurrently.Computer usage including data entry for prolonged periods.Handling and being exposed to sensitive and confidential information.

PHYSICAL/SENSORY    REQUIREMENTS

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
