Events Specialist, 6 month temp contract

This role sits within the 40-strong marketing team, based in London, and is focused on bringing the Vanguard message to all of our European clients through high-quality events. The senior event specialist works and collaborates with multiple event and conference partners to plan, schedule and coordinate activities. They are responsible for the development, execution and follow-up of proprietary and third-party events, which can range in complexity, under minimal direction and supervision. These events may take place in person or in a virtual format.

In this contract role you will:

Lead strategic and tactical implementation of multifaceted, multi-channel events, mainly in the UK but also across several other European markets.Partner extensively with internal and external stakeholders from across the marketing and distribution teams as well as expert presenters.Build event registration pages and website landing pages within the following systems (amongst others): Cvent, ON24, Kaltura, AEM and Salesforce Marketing Cloud.Plan and oversee the digital event User Experience (UX) to ensure interfaces (including website, apps and forms) provide an effortless and enjoyable experience for Vanguard contacts and prospects.Regularly explore best practices, customisation options and upgrades for these systems. In some instances, you will manage implementation and training for the team.Make recommendations on appropriate event types (third party and proprietary), sponsorship level, messaging, promotional plan and delegate journey in line with these strategies.Create and implement comprehensive event communication plans across a variety of marketing channels (email, social media, web), agreeing key messages, frequency, segmentation and journey mapping as well as tracking results and adapting plans accordingly.Ensure event plans and marketing activity are all compliant with global and local laws and regulations (e.g. GDPR, Anti-Bribery laws, co-marketing policies, etc.) in all relevant European countries, and adjust processes and systems in accordance with legal recommendations.Maintain strong relationships with external event organisations and providers, constantly building knowledge of platforms, industry and market trends and the events landscape.Manage sourcing, procurement, implementation and supervision of external vendors.Create event dashboards to measure post-event analysis and evaluation to improve future events.Manage event budgets and participate in annual planning and forecasting with marketing business partners.

To succeed, you will need:

3-5 years of related event management experience.An understanding of what it’s like to work in a busy marketing team in the financial services sector – with all the regulatory and information security considerations this brings.Digital experience with event platforms ON24, Kaltura, Cvent and AEM.Confidence and dynamism, with the ability to articulate your thoughts in meetings and to lead with assurance.The ability to travel to support onsite at events across the UK and our other European markets.Great relationship management skills across all levels of crew (including senior staff) and external vendors.Strong attention to detail with the ability to work across multiple projects and under deadline pressure.Ability to work independently and establish work priorities with minimal guidance from management.Excellent negotiation and conflict-resolution skills.Ability to drive new approaches that improve the impact of conferences and meetings delivered by the department.Strong written and communication skills.Experience of project management would also be favourable.
