About the role:
We are seeking a highly organized and detailed oriented Operations Coordinator Analyst to join our team. This role will provide operational support to the Global Event Marketing team, with a regional focus on EMEA and APAC. They will assist with various administrative and financial tasks, as well as manage key event data and reporting. The ideal candidate will be responsible for managing calendars, updating event data, creating reports, reconciling expenses, and providing ad-hoc support for events and key projects. This position requires excellent communication skills, attention to detail, and the ability to work collaboratively with different teams.
What you’ll do:
Collaborate with the Head of Operations and Digital for Events team to ensure accurate reporting and analytics of event data
Regular monitoring and tracking of event data to produce reports for leadership
Manage the reconciliation process of team expenses and credit card payments
Process and track monthly invoices
Manage quarterly internal charges as part of the team’s operational model
Manage updates and edits to the Global Event Marketing resource hub and Global Events Calendar
Assist with scheduling team meetings
Assist with creating training schedules and conducting onboarding sessions for new joiners
Assist in strategizing and implementing operational processes that enhance team efficiencies
Provide project-based administrative support for key projects including budget reconciliation
Provide support coverage for the Americas region when needed
Who you are:
Proven experience of 1-3 years in an administrative or operational support role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office Suite (SharePoint, Word, Excel, PowerPoint, Outlook).
Experience with event management software and expense systems such as Cvent, Coupa, Concur, etc.
Ability to work independently and as part of a team.
Attention to detail and problem-solving skills.
