Events Manager
Summary This position is located in the Architect of the Capitol (AOC), Office of the Chief of Operations, Superintendent, Senate Office Buildings. The incumbent is responsible for management and direction of the Senate Office Buildings (SOB) special event personnel and presentation to support the United States Senate. This position is 'emergency essential' and may be required to report to work on days when the federal government and AOC are closed due to other emergency situations. Responsibilities As an Event Manager, you will be responsible for the management and direction of the Senate Office Buildings (SOB) special event personnel and presentation to support the United States Senate. Special Events Management (30%) Receiving requests from the US Senate and external organizations wishing to use SOB space as a venue for their event. Working with the organizations’ representative to provide AOC and US Senate guidelines on the use of SOB spaces for such event Providing support and collaboration with other division officials to ensure consistency in the delivery of special event services and contributes to the efficiency of the mission. Conducting research into events’ purposes, hosting organizations and Member participation. Independently reviews all event requests submitted to the SOB. Conducting extensive research into events’ purposes, hosting organizations and Member participation Executing strategic plans for event operations, including opportunities for process improvement, resource optimization and long-term goal setting Contract Administration and Program Support (25%) Providing daily oversight of US Senate food service contracts, including restaurant operations, catering, and vending. Manages contractor compliance with United States (US) Senate contracts for food service, operations, and catering services to ensure all performance requirements are met including the delivery of a quality customer experience through high quality service standards, operational readiness and maximum visitor flow in a safe and secure environment. Independently conducting performance assessments through methods including site visits, contractor reports, correspondence and telephone conversations to ensure timely compliance of applicable contract clauses, such as those related to small business, patent rights, labor laws and progress reports. Providing informed advice and guidance on matters such as quality service standards, adherence to sanitation and safe food handling standards, operational readiness and optimizing customer flow in a secure environment, service level agreements and performance indicators regarding contractor performance. Supervisory and Managerial Responsibilities (25%) Responsible for the team of Event Coordinators and Material Handlers; responsibilities include providing management and leadership, as well as exemplifying excellent customer service standards for subordinates who plan, manage, and execute the events. Ensures compliance with and consistent application of all SOB/AOC policies and standard operating procedures. Providing employees with skills enrichment through job-related coaching, mentoring and training Developing and following agendas for monthly team meetings with direct reports to provide training and teambuilding. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Candidates for the GS-11 grade level must have at least 52 weeks of specialized experience equivalent to the GS-09 grade level in the Federal service. Specialized experience for this position includes; Experience planning, organizing and executing events from start to finish, for high profile individuals Developing and implementing policies standard operating procedures, and key performance indicators for the use of event. Managing a team of events management professionals. OR Education: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher-level graduate education leading to such a degree or LL.M., if related. An equivalent combination of the specialized experience and the graduate-level education described above Candidates for the GS-12 grade level must have at least 52 weeks of specialized experience equivalent to the GS-11 grade level in the Federal service. Specialized experience for this position includes; Experience planning, organizing and executing events from start to finish for high profile individuals. Developing and implementing policies, standard operating procedures, and key performance indicators for the use of event spaces. Managing a team of events management professionals. Providing technical and administrative supervision to subordinate employees. Receiving and resolving requests and arrangements for special functions.
