Smith+Nephew is seeking an Event Operations Specialist for our Singapore Academy to support the management of the facility, and coordination and execution of onsite Medical Education activities at Academy Singapore ensuring a consistent, outstanding customer experience. This role is an Academy ambassador and business partner to internal collaborators.

What will you be doing?

Event Support:

Oversee and maintain the Singapore Academy calendar to ensure all activities are accurately scheduled and well-coordinated

Collaboration and liaise with collaborators like Medical Education Programme Managers and Meeting Planning teams to ensure the success of events

Provide on-site support for Medical Education events, including management of registration desk, digital signage and printed collateral at a given facility.

Welcome guests and provide front-of-house assistance for all courses, creating a positive first impression and ensuring smooth event operation

Manage onsite Smith+Nephew-branded materials and printed collateral supporting consistency in customer experience across all Academies.

Monitor and update pantry inventory regularly to ensure all required items are stocked and available for events and day-to-day operations.

Multimedia Coordination: Liaise with the Medical Education Program Manager and AV team to gather required multimedia content and updated on the media wall

Ensure all facility multimedia players are loaded with the accurate content specific to each event.

Collaborate with local vendors to be responsible for onsite cleaning and catering services.

Academy Operations Management:

Maintain a safe, clean, and well-functioning training facility.

Develop and implement maintenance schedules and protocols to ensure the Academy is safe, clean, and well-functioning.

Conduct regular inspections of the Academy to identify and address any maintenance or safety issues.

Coordinate repairs, upgrades, and maintenance tasks with relevant vendors and contractors.

Ensure compliance with health and safety regulations and emergency protocols.

Manage facility access and security systems to maintain a secure environment.

Raise Purchase Orders (PO) and Purchase Requisitions (PR) to secure resources efficiently.

Manage cross-charges for appropriate cost allocation across projects and departments.

Collaborate with the Senior Manager of the Academy to ensure all service contracts are up-to-date, well-maintained, and aligned with organizational standards, proactively preventing any potential disruptions.

Reconcile and submit payments for the Corporate Meeting Card, ensuring accuracy and adherence to company policies.

Develop a system to gather feedback from attendees and internal teams regarding facility functionality and event support, using it to drive continuous improvement.

Work with HSE to schedule staff training sessions on emergency protocols, such as evacuation procedures and first-aid response. Also, to maintain and periodically test emergency equipment (e.g., fire extinguishers, alarms) to ensure readiness.

Reporting and Compliance:

Maintain accurate report for HCP related expenses.

Adherence to S+N business conduct policies and procedures. Maintain the highest standards of ethics and compliance.

Others:

In addition to the above, employees are required to carry out any reasonable request to perform other duties as may be reasonably required within the scope of the job title and to work safely at all times with due regard for health, safety and environmental protection. Stay current, and often ahead of the curve, on event planning, design, and production trends, proactively identifying and solving operational challenges.

To always act in a responsible manner to avoid risk to self or to the company and align with the workplace safety and health and security policy.

Any other duties involved within the role and/or the tasks as assigned from time to time.

Prepared to work flexible hours & weekends during meded courses.

What will you need to be successful?

Success in the role will require a combination of technical knowledge, soft skills, and a deep understanding of both the business and service-providing sides of an organization. Successful candidates would need the following:

Bachelor’s degree or equivalent experience.

2-3 years of experience in event planning or customer facing role.

Experience with Microsoft office applications (word, excel, PowerPoint).

Highly organized, strong attention to detail, and able to prioritize multiple tasks.

Strong interpersonal and communication skills.

Flexible “can do” attitude, adaptable to change.

Technology aptitude.
