Conferencing Administrator / Executive Assistant Top Skills Details Scheduling,Coordination,Executive Support,Conferencing Services,Customer Service,Communication The Conferencing Services Scheduler will be responsible for working closely with Executive Admins to coordinate and schedule conference room services to support Executive leadership. This role will coordinate availability of conference rooms and conferencing services support to initiate and support Executive's conferencing needs. The ideal candidate will have strong interpersonal skills, capable of working with Executive Administrators and Executives to provide conference room availability, book meetings and coordinate with Conferencing Technology Support team to ensure there is the appropriate coverage to support conference meetings. Candidates should be well organized, familiar using Outlook/Calendar to check availability and schedule meetings and maintain a professional demeanor to provide white glove service/support to Executives and their Admins. Description We are seeking a meticulous and dedicated Conferencing Administrator for two primary focuses: 1. Manage our large, divisible conference spaces via our EMS platform collaborating with key teams across the organization including facilities, business, event coordinators, catering and other areas across the organization. 2. Act as Data Steward for the EMS platform as well as global conference room data within Service Now. We are seeking a meticulous and dedicated Conferencing Administrator for two primary focuses: 1. Manage our large, divisible conference spaces via our EMS platform collaborating with key teams across the organization including facilities, business, event coordinators, catering and other areas across the organization. 2. Act as Data Steward for the EMS platform as well as global conference room data within ServiceNow. Skills Scheduling, Coordination, Executive Support, Conferencing Services, Customer Service, Communication Additional Skills & Qualifications Event Management System (EMS) Administrator • Manage the EMS platform. • Manage divisible conference spaces and high visibility conference rooms managed within the EMS system. • Act as a point of escalation to resolve requirements and usage needs within these high visibility spaces. • Collaborate with the organization including facilities, business, event coordinators, catering and other areas across the organization to schedule events and align rooms to requirements and needs. • Provide visibility to key metrics and reports on EMS usage, opportunities, and issues/resolutions. • Key collaborator with Human Resources branch of EMS, requirements, and use of platform. • Identify and promote continuous improvement to support high visibility events, space management and data quality for conferencing rooms. Data Entry Good interpersonal skills, professional communication and strong customer service experience. Able to handle difficult/demanding requests with patience and composure. Pay and Benefits The pay range for this position is $20.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
