Event Coordinator
POSITION SUMMARY :   Under the direction of the Catering & Sales Manager and Banquet Managers, the Events Coordinator is responsible for assisting in planning, preparation and coordination of all club-wide events working closely with the Banquet Manager who is responsible for the day-of event execution. The Event Coordinator also works closely with other department leaders to support department specific and Ambassador events and activities that have culinary or production needs or that require facility reservation. This individual utilizes exceptional organizational and communication skills to ensure the seamless delivery of high-quality events that exceed the expectations of members, their guests, and fellow Ambassadors. JOB RESPONSIBILITIES :   + Assists in all aspects of pre-event planning and coordination, and post-event wrap-up for Club events put on for the benefit of general membership. I.e., Summer Concert Series, Summer Family Festival, NYE Fireworks, Golf Tournaments, etc. + Work in collaboration with department leaders to coordinate facility reservations, culinary needs, and/or entertainment and production needs for department or facility-specific events and activities. I.e., Seasonal Ambassador Kickoff and End of Season Celebration and, Wine Dinners, etc. + Creates Banquet Event Orders (BEOs) with space diagrams (as applicable) and coordinates reservation of space for all events and activities, coordinates production needs for all events and activities that require production support. + Assists in coordination with F&B Culinary, Banquet Managers, and other departments as necessary to plan menus, facility setup, and service for all events and activities. + Assists in maintaining and regularly distributing the Master Special Events calendar and weekly packet of event orders. + Assists with sourcing, scheduling, and maintaining ongoing relationships with event related vendors in support of the execution of events and activities. I.e., musicians, rental companies, DJ’s, etc. + Assists with ensuring that contracting is complete prior to utilization of a related service vendor. + Partner with Communications and/or the Creative Director to produce signage, menus, etc. for Club events. Participate in the development of the Summer and Winter Club calendars. + Assists with maintaining a system of organization for event and activity information that provides ease of accessibility for future use. + Serves as a point of contact and ensure production needs are satisfied for artists performing in the Summer Concert Series. + Support the Banquet Manager is producing event billing for review by the Catering Sales Manager. + Serve as a backup for the Catering Sales Manager in response to event inquiries as necessary. + Other duties as necessary for the fulfillment of Martis Camp’s Mission, Vision, and Core Values. REQUIRED QUALIFICATIONS : + 1-3 years of related professional experience + Intermediate to advanced level proficiency in Microsoft Office products + Satisfactory driving record that allows for selected candidate to be added to Martis Camp vehicle insurance (considered on a case-by-case basis) DESIRABLE QUALIFICATIONS : + Bachelor’s or Associate’s degree preferred + CPR and First Aid Certification PHYSICAL REQUIREMENTS:(with or without accommodations) + Ability to lift up to 50 lbs.  + Ability to communicate effectively in a collaborative work environment utilizing various technologies such as phone, computer, e-mail, etc. + Must be able to stand and walk for extended periods of time + Must be able to reach, bend, kneel, pull & push to assist with storage cleaning duties and event space maintenance WAGE RANGE: $26 - $30 per hour  Martis Camp Club is an equal-opportunity employer   Powered by JazzHR
