Epic Program Director
Position Summary Full-Time Day Shift

Position Summary: 

Oversee the planning, execution, and successful completion of the Epic Electronic Health Record (EHR) implementation. This senior leadership role is critical to ensuring the alignment of project goals with organizational objectives, on-time delivery, and adherence to budgetary constraints. Collaborate with executive sponsors, clinical leaders, IT professionals, and external Epic consultants to implement a cohesive, integrated EHR system that optimizes clinical workflows and enhances patient care.

Principal Duties & Responsibilities: 

Develop and execute a comprehensive EHR strategy and roadmap, ensuring alignment with organizational objectives and industry best practices. Serve as the primary liaison between executive sponsors, stakeholders, IT leadership, and project teams, ensuring seamless communication and collaboration. Advocate for Epic best practices, encouraging adoption of standardized workflows to optimize efficiency and clinical outcomes. Keep up with of emerging trends, Epic updates, and regulatory changes that impact the system and provide strategic recommendations. Lead all phases of Epic implementation and optimization, including system design, build, testing, training, go-live, and post-go-live support. Monitor project progress, proactively identify risks and interdependencies, and implement mitigation strategies. Ensure adherence to timeline, scope, and budget constraints, adjusting strategies as necessary to keep the project on track. Develop KPIs and reporting mechanisms to measure project success, presenting regular updates to executive leadership. Lead and manage cross-functional project teams, including analysts, trainers, clinical informaticists, and technical staff. Oversee the hiring, onboarding, certification, and training of Epic project staff, ensuring high competency levels. Collaborate with clinical, operational, and administrative leaders to assess workflows, validate system design, and drive adoption. Facilitate stakeholder meetings, workshops, and leadership updates to ensure alignment and informed decision-making. Manage the Epic program budget, ensuring sustainability and cost-effectiveness. Oversee financial planning, including cost-to-budget forecasting, invoice approvals, and purchase order authorizations. Negotiate and manage contracts with Epic representatives and third-party vendors, ensuring deliverables align with organizational needs. Coordinate vendor site visits, system demonstrations, and consultant engagements. Develop and execute change management strategies to promote end-user adoption and minimize resistance. Work closely with HR and training teams to create and deploy comprehensive training programs for clinicians, administrators, and IT staff. Facilitate end-user engagement through workshops, feedback sessions, and ongoing system improvements. Ensure compliance with industry standards and regulations (e.g., HIPAA, Joint Commission, CMS requirements). Establish governance models and policies to maintain data integrity, security, and confidentiality. Define and monitor Epic system KPIs to evaluate performance, user adoption, and system effectiveness. Partner with leadership teams to ensure the long-term sustainability and evolution of the EHR system. Required Experience

Education: 

Bachelors degree in Healthcare Administration, Information Technology, Business Management, or a related field (Master’s degree preferred).

License/Certifications: 

PMP (Project Management Professional) certification preferred. Epic certification(s) in relevant modules or demonstrated experience managing Epic implementations is a strong advantage.

Experience: 

5 years of verifiable experience in Electronic Health Record (EHR) program management, preferably in Epic, including at least 3 years in a supervisory capacity. 5 years of progressive clinical or operational leadership experience, with a minimum of 2 years managing high-performing teams. Proven ability to lead Epic implementations or similar EHR projects, ensuring alignment with organizational goals, seamless integration, and optimized clinical workflows.
