Reuters is looking for a talented and experienced Editorial Operations Administrator to support our fast-paced and largest global newsroom in London. You will ideally have experience in a news agency or large media organisation.
You will have a proven track record as a team player and be a self-starter with plenty of initiative. As a key member of the Europe Editorial Operations team, you will work closely with senior editors across video, pictures and text to ensure that planning and managing administrative processes are seamlessly handled. Calm and resilient, you will know how to react quickly and efficiently to ensure the needs of our editorial teams on the ground are met. Extremely well-organised, you will also work on projects that span multiple countries and languages.
This is a full-time role that will require an in-office presence for four days per week and will report to the Regional Administrator.
About the Role:
As our Editorial Operations Administrator, you will be responsible for:
Supporting our editorial operations in their daily workflows by establishing and adhering to best practices
Own, manage and update the RVN Global Rosters
Own and manage the relationship with our staffing agency that manage our contingent workforce
Manage the approval of timesheets
Provide support with vendor set-ups working closely with the Global Ops Team
Cooperate with vendors and internal sourcing department and manage PO and receipting processes, manage editorial invoices
Take ownership of our inventory tool, update and accurately enter and maintain data
Manage subscriptions (TV, mobile phones, news feeds) and memberships and sharing budget information with the respective stakeholders
Manage our fleet of company vehicles (registration, license, fuel and insurance cards, car fines, management of damages, parking authorisation
Ensure that new staff is onboarded onto corporate systems, cooperation with IT department
Provide regular input on major events including costs in your respective region
Provide ad hoc support in a breaking news environment
Cooperation with senior editorial management and other departments (Facilities, HR, AP) across the company
Cooperate with facility management on health & safety, maintenance, business continuity
Schedule calendar appointments (Outlook), meetings and group travel itineraries
Plan and coordinate team events and other special events on and offsite
Participate in training opportunities
Identify potential innovations to enhance administrative workflows
Cooperate with wider Editorial Operations Team and provide cover during holiday seasons
About You
To be one of our Editorial Operations Administrator, you will likely have:
Ability to work in a highly complex ambiguous environment
Excellent organizational skills and experience in office administration and people management and problem solving
Exceptional written, verbal, and interpersonal communication skills
Proficiency in Excel, advanced level experience in other MS Office applications
At least 3 years of experience in the relevant field
Fluent written and spoken English; a second global language would be advantageous
An ability and desire to work with a team across languages and geographies
The ability to work under pressure and with great flexibility
Goal-oriented to meet the set objectives and goals
