Job Summary
An ECT admin, or Electroconvulsive Therapy administrator, is responsible for managing the administrative aspects of ECT treatments, including patient scheduling, record-keeping, communication with healthcare teams, ensuring compliance with regulations, and providing support to the ECT medical team during procedures, all while prioritizing patient safety and confidentiality.
Essential Duties:
· Managing patient appointments for ECT treatments, coordinating with other healthcare providers to schedule necessary pre- and post-treatment assessments, and ensuring timely communication regarding appointment details.
· Maintaining comprehensive and accurate patient records, including medical history, consent forms, treatment plans, and ECT procedure documentation, adhering to HIPAA guidelines.
· Assisting the medical team in obtaining informed consent from patients regarding ECT treatment, explaining procedures and potential risks and benefits clearly.
· Communicating with various healthcare professionals including psychiatrists, nurses, and other administrative staff to coordinate patient care and ensure smooth treatment delivery.
· Monitoring and maintaining adherence to all relevant healthcare regulations and standards related to ECT administration, including documentation requirements and reporting protocols.
· Entering patient data into medical records, generating reports on treatment outcomes, and tracking key metrics related to ECT procedures.
· Providing emotional support and answering questions for patients and their families regarding the ECT process, addressing concerns and providing necessary information.
· Preparing treatment rooms and equipment for ECT procedures, including checking the functionality of the ECT machine, and ensuring all necessary supplies are available.
· Meet with inpatient candidates to discuss treatment and work with providers to determine patients meet the requirements for ECT treatment.
· Performs utilization and review by evaluating the medical necessity and appropriateness of ECT treatments provided to a patient, ensuring that care is delivered efficiently and aligns with evidence-based standards.
· Communicates with appropriate insurance company regarding obtaining the authorization for the ECT Treatment to include collateral or follow-up information.
· Conducts community outreach to outline the requirements and benefits to ECT as a medical procedure.
· Participates in family meeting for discharge planning and ECT psychoeducation.
· Coordinates patient care Post procedure.
· Performs additional duties as requested.
Requirements
Job Requirements
Education and/or Licensure – High School degree (or equivalent).
Experience – Prior psychiatric healthcare experience helpful.
Additional Requirements – Must possess or obtain a valid CPR certification and SAMA training within 30 days of hire.
Knowledge Skills and Abilities
· Basic understanding of medical terminology, psychiatric conditions, and the ECT treatment process or able to learn.
· Proficiency in scheduling, record-keeping, data entry, and managing electronic health records.
· Excellent verbal and written communication skills to interact effectively with patients, families, and healthcare team members.
· Ability to maintain accurate and detailed patient records, ensuring proper documentation and compliance with regulations.
· Commitment to providing compassionate and patient-focused care throughout the ECT treatment process.
· Customer service skills in face-to-face interactions with dealing courteously with patients, the public, and other staff within the organization.
· Use of appropriate social skills, including demonstration and respect for patients and staff; empathy toward patients; skills in teaching or assisting with activities of daily living helpful.
· Skill to independently interpret reference materials to comply with law, rules, regulations, policies, procedures, etc.
· Ability to apply time management practices to prioritize, schedule and complete work effectively to comply with mandated policies and deadlines.
· Ability to work on multiple tasks or parts of tasks simultaneously to ensure timely completion of work activities.
Physical Requirements/Environmental Conditions
Perform the following with or without reasonable accommodations:
· Ability to stoop, kneel, crouch, crawl, reach, stand, walk, push, pull, lift, grasp, and be able to perceive the attributes of objects such as size, shape, temperature, and/or texture by touching with skin, particularly that of the fingertips.
· Ability to express and exchange ideas via spoken word during activities in which they must convey detail or important spoken instructions to others accurately, sometimes quickly and loudly.
· Hearing to perceive the nature of sound with no less than 40 db loss @ Hz, 1000 Hz, and 2000 Hz with or without correction; ability to perceive detailed information orally and make fine discriminations in sound.
· Perform repetitive motions with wrists, hands, and fingers. Individual must be able to exert up to 100 pounds of force occasionally and to be able to lift, carry, push, pull, or otherwise move objects.
· Work requires a minimum standard of visual acuity with or without correction that will enable people in the role to complete administrative and clerical tasks, as well as inspect and analyze.
· While worker may possibly be subjected to temperature changes, the worker is generally not substantially exposed to adverse environmental conditions as the work is predominantly inside.
