Documentation Coordinator II

JOB PURPOSE:

The Documentation Coordinator II is responsible in assisting with overseeing day to day operations assigned to the team. The Documentation Coordinator II is seen as a subject matter expert (SME) for the other documentation coordinators. This role will assist in ensuring delivery of quality service, development of staff and ensuring proper work processes meet Numotion procedures.

 

KEY RESPONSIBILITIES:

▪ Assist in execution of plans to facilitate achievement of team & company goals.

▪ Obtain medical documentation for required funding approval utilizing both telephone, facsimile, secure email, and web portals.

▪ Communicate effectively with branch personnel regarding order processing.

▪ Facilitate training and onboarding of new team members.

▪ Supports Documentation Coordinators by assisting in answering questions and providing guidance in complex circumstances.

▪ Acts as a leader and change agent within the team and maintains a positive attitude.

▪ Identifies and communicates trends to management, as well as helping to find resolutions for those trends.

▪ Responsible for submission and retrieval of medical documentation to physician/referral source to ensure medical necessity required for funding.

▪ Assist with organizing daily workload of team.

▪ Provide support for various business processes and innovations including departmental standard operating procedures.

▪ Utilize Numotion Leadership Principles to perform job with integrity, compliance, and values consistent with Numotion’s mission.

▪ Adhere to employee or customer confidentiality and comply with Numotion’s policies and federal regulations.

▪ Provide excellent customer service for all internal and external customers of the operations at all times. Provide solutions for customer concerns and continually focus on customer service as our top priority.

REQUIRED QUALIFICATIONS, SKILLS, AND EXPERIENCE:

▪ High School diploma/GED.

▪ One-year order processing related experience.

▪ Proficiency in Windows Operating System and Microsoft Office Suite.

 

PREFERRED COMPETENCIES AND QUALIFICATIONS:

▪ Associate degree.

▪ One-year previous lead, training, or supervisory experience.

▪ Solid written and verbal communication, listening, organization and priority setting skills.

▪ Advanced skills in communication effectiveness, expansive knowledge of med docs process, and willingness to promote a positive culture.

▪ Solid critical thinking and problem-solving skills.

▪ Ability to concentrate and remain focused while handling multiple tasks, responsibilities, and projects.

▪ Able to use technology to optimize efficiency and effectiveness.

▪ Able to think quickly, assess a situation and make a sound decision.

▪ Ability to work in a fast-paced environment and juggle multiple priorities.

▪ Independent, self-directed; able to work without supervision.

▪ A track record of being consistent with attendance and prompt arrival at work and meetings.
