Document Management Specialist

KBR is providing Project Management Services encompassing Engineering, Procurement, Construction, and Commissioning phase execution supporting KBR’s client Sonangol’s multi-billion-dollar grass roots Lobito Refinery Project in Angola Africa. 

KBR is looking for a Document Management Specialist to plan, budget, direct supervise, and coordinate document management functions, personnel, and systems for the Sonangol Project.  This role will manage the delivery of functional objectives by providing leadership and direction to managers and professional staff.

***This position will mobilize to Angola***

Responsibilities:

Develop and assist in document management technical audit capabilityRecruitment of document management personnel for assignment to projects and core rolesConduct and assist in conducting PPR activitiesReview DM, IM, IPS working model in core and project environmentsEnsure work meets required HSE and QA standardsResponsible for measurable assets such as budgets, equipment, and staffingAccountable for ensuring compliance with Code of Business Conduct, company Internal Controls Policies and Business PracticeAccountable for ensuring development of implementation and compliance with Project Policies and ProcessesAccountable for assisting in the creation and implementation of Company Document Management Policies and procedures ensuring complianceAccountable for the success of the Document Management activities and deliverables in accordance with the agreed schedules, milestone, and cost, focused on aiding project goals and objectivesAssists in the establishment, maintenance and improvement of Document Management processes, systems, and tools to aid efficiency and effectivenessCommunicate/liaison with Project Management and team, Client, and Sub-contractors effectively and resolve problems relating to documentation, information, and dataEnsures consistent and common appropriate functional training and development programs for all resources in support of Project operational needsCommunicates regularly with Company Document Management employees by use of briefing sessions to share knowledge, best practices and lessons learnedEnsures the correct establishment, utilization, maintenance and usage of Document Management work processes and computer software applications, IPMS (in-house system), Documentum, Web Transmittal Tool, and Web Distribution Database etc.Management and operational prioritization of the document management teamUnderstand limitations of the systems and adopt necessary changes to work practices and work with the database administrators to improve the service

Qualifications: 

Bachelor’s degree or equivalent in oil & gas industry experience7 + years of experience in the oil & gas industry in a document management role or related roleIn lieu of formal education 15 + years of experience in a document management role or related roleKnowledge of EDMS systems & Electronic Document Imaging Technology (Documentum- advantage) and computer technologyHighly proficient with Information Management systems and Philosophies an advantageCompetence to develop procedures and work processesStrong understanding of oil industry documentationAwareness of Regulatory Authorities requirementsKnowledge and understanding of current document controls standardsProven ability to accept responsibility and accountability, identify and facilitate effective resolution of problems, and make optimal us of available resources
