**Job Description:**
Parsons is looking for an amazingly talented **Document Controller** to join our team! In this role you will get to organizing and maintaining project documentation, ensuring that all documents are accurately filed, easily accessible, and compliant with industry standards. The position requires strong organizational skills, attention to detail, and proficiency in document control software to ensure smooth project execution and adherence to timelines.
**What You’ll Be Doing:**
+ Organize, file, and manage all project-related documents, including contracts, technical drawings, specifications, reports, and correspondence.
+ Maintain a well-structured filing system to ensure that documents are easily accessible for project teams and stakeholders.
+ Ensure that all incoming and outgoing documents are recorded, tracked, and distributed to the relevant parties in a timely manner.
+ Implement and enforce document control procedures to ensure that all project documentation is handled, stored, and archived correctly.
+ Ensure compliance with company standards and industry regulations related to document control and management.
+ Assign document control numbers, create document templates, and ensure proper version control for all project documents.
+ Assist project teams with document review and approval processes, ensuring all documents are reviewed, signed, and finalized before distribution.
+ Coordinate with stakeholders to ensure that documents are approved and signed off promptly, preventing delays in project timelines.
+ Maintain an up-to-date record of all document revisions and approvals.
+ Manage and maintain electronic document management systems (EDMS), ensuring proper storage and organization of digital files.
+ Ensure that all documents are uploaded and stored in the correct location within the digital system and are easily accessible.
+ Conduct regular backups of project documentation to prevent data loss.
+ Provide reports on document status, including document approval, review cycles, and document revisions.
+ Assist project teams and stakeholders in retrieving documents quickly and efficiently as needed.
+ Maintain a comprehensive index of all project documents and keep an up-to-date record of all document transactions.
+ Act as the point of contact for all project documentation inquiries, ensuring effective communication with internal teams and external stakeholders.
+ Coordinate the distribution of documents to the relevant parties, including contractors, subcontractors, suppliers, and clients.
+ Ensure that all project team members are trained on proper document control procedures and tools.
+ Ensure all documents comply with internal quality standards and project requirements.
+ Conduct audits on project documents and filing systems to identify gaps and ensure that all documentation is up to date and accurate.
+ Ensure that documents are properly stored and maintained for future reference, adhering to retention schedules and company policies.
**What Required Skills You’ll Bring:**
+ Bachelor’s degree in Business Administration, Engineering, or a related field, or equivalent experience.
+ Minimum of 2-4 years of experience as a Document Controller in a construction, engineering, or project-based environment.
+ Experience with document management systems (e.g., Procore, Aconex, SharePoint, or similar platforms).
+ Knowledge of industry-specific documentation standards and regulations.
+ Strong organizational and time-management skills with the ability to prioritize tasks.
+ Attention to detail and accuracy in document management.
+ Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
+ Familiarity with document control and project management software.
+ Excellent written and verbal communication skills.
**What Desired Skills You’ll Bring:**
+ Certification in Document Control or Project Management (e.g., PMP, DCF certification).
+ Experience with digital and paper-based document management systems.
+ Knowledge of legal, contractual, and regulatory requirements related to document management.
+ Ability to work independently and as part of a team, collaborating with various departments and stakeholders.
+ Familiarity with quality management systems and audits.
