Parsons is seeking an organized and detail-oriented Document Control Manager to lead and oversee the document control process for major infrastructure buildings projects. In this role, you will be responsible for managing the flow of project documentation, ensuring accuracy, consistency, and compliance with company and client requirements. You will work closely with project teams, clients, contractors, and other stakeholders to maintain efficient and secure document management systems that support the successful delivery of high-value infrastructure projects.
What you'll be doing:To provide guidance, direction, and specialized assistance for the resolution of any document control-related issues, whether these are experienced by the Client, the Program team or/and the contractors & consultants.
To interface with the Client and the Client’s Document Management’s team, attends regular meetings, and provides recommendations, when required.
To organize access to the EDMS (Aconex) project folder(s) to the Program team members.
To organize the Aconex project folders in line with the project WBS and to provide access to the team members based on their specific involvement with the program.
To organize the project SharePoint folders in line with the project WBS and to provide access to the team members based on their specific involvement with the program.
To provide training to all new joiners so they can operate all the necessary functions on Aconex & on SharePoint.
To organize and manage onboarding sessions with the contractors & consultants – these sessions are to cover procedures for submitting documents, workflows, transmittals, Comments Resolution Sheets, etc…).
To coordinate assignments and to supervise project work activities and to train personnel.
To complete performance reviews and to provide personnel development for the assigned employees.
To accumulate and access historical data for use in maintaining a realistic basis for future planning and forecasting.
To create statistical reports for management on a recurring or one-of-a-kind basis, showing key indicators such as number of letters received, sent, number of workflows in delay, workflows completed, etc…
Performs other responsibilities associated with this position as may be appropriate.
What required skills you'll need:
Bachelor’s degree in information management or related field from a recognized university is required. Appropriate certification in Document Management can be accepted (with sufficient years of experience in function).
Minimum fifteen (15) years of work experience in document management on engineering and construction projects.
Minimum 5+ years of experience in a leadership capacity.
PMP certification highly desired.
PMO/PMCM experience is required; GCC experience is required.
Experience on major Transportation Infrastructure programs is plus.
Demonstrated understanding of project delivery methodology.
Thorough knowledge of industry practices and regulations.
Knowledgeable of latest EDMS like Aconex – knowledge of Primavera Enterprise Systems is a plus.
Proficient computer skills.
Ability to work in teams; ability to follow through; and ability to clearly deliver work instructions in a complex risk environment.
Must function effectively under time constraints, schedule workload to meet deadlines, and has the ability to prioritize.
Good written and oral communication, organizational, interpersonal skills, and customer service skills are required, both internal and external facing.
