Job Description
We are seeking a dedicated Document Administrator to join our team. In this role, you will be responsible for creating and managing various documents, including subcontracts, purchase orders, and change orders. You will also assist with project closeouts, owner billings, and insurance compliance for subcontractors and vendors.
ResponsibilitiesCreate rough and final drafts of subcontracts, purchase orders, and subcontract change orders in Vista.Request performance bonds as needed for projects and bonds on contracts valued at $250 or more.Prepare closeout books for owners at the completion of projects.Send emails and manage different forms used for various jobs, including tax percentage forms.Prepare owner billings and obtain waivers from subcontractors/vendors. Email Sub/Vendor logs for each job to the superintendent and subs/vendors.Obtain and track all insurance for subcontractors/vendors to ensure compliance and approval.Assist the Project Manager with subcontractor monthly billings, lien waivers, and other related tasks.Save fully executed subcontracts, purchase orders, change orders, and other documents.Assist subcontractors with questions regarding paperwork, contracts, and vendors.Essential Skills2+ years of data entry/administrative experienceStrong attention to detailExperience dealing with money/numbersExperience working with internal managers (2-3) and good communication skillsCollection of documents for projectsAdditional Skills & QualificationsExperience in the construction industry is a plus, but not requiredExperience with invoices and pay applications is a plus, but not requiredMust be comfortable with a high-volume role and constantly staying busyMust be organizedMust be able to work well with multiple different personalitiesWork Environment
The role is completely onsite at our corporate office in Charleston. You will work in an office/cubicle setting. Summers are very busy, while winters are slower. The working hours are from 8 AM to 5 PM with a 1-hour lunch break.
Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr.
