The Divisional Youth Department Administrator will provide administrative support to the Northern New England Divisional Youth and Candidates Department as directed by the Divisional Youth and Candidates Secretaries. The work location will be at DHQ from September 1st – April 30th and at Camp Sebago from May 1st to August 31st.
Responsibilities Perform a variety of administrative duties, including managing incoming communication, copying and filing materials, processing incoming and outgoing mail, and distributing Youth Department-related mail.Prepare and send communication to all to all member groups associated with the Youth Department’s ministry, while maintaining an up-to-date list of recipients.Assist as needed with the processing of Candidate materials, testing & paperwork.Assist as needed with the production of Candidate Informational Videos.Engage with youth and young adults of the Division through social media by promoting events, creating content, and utilizing various platforms for ministry outreach.Design and send promotional materials for divisional distribution of Youth Department Events/Programs.Assist, as requested, in the preparation and execution of Divisional Youth Programs and events, including but not limited to Bible Bowl, Troops, Corps Cadets, Jr. Soldiers, Sunday School, DYMA, Youth Councils, Young Adult Fellowship, retreats, and special events such as Men’s Camp, Women’s Camp, and Family Camp.Attend, as requested, all Divisional and Territorial Youth & Young Adult events, conferences, and any necessary training related to the position.Coordinate registrations for all Divisional Youth Department Events.Track and report statistical data for Divisional Youth events.
OTHER CAMP RELATED RESPONSIBILITIES:
Assist as instructed with Camp Canteen financial deposits.Perform errands, including trips to the bank and post office, as needed.Prepare and distribute billings for year-end events and camp merchandise.Generate weekly spiritual commitments list and distribute to Corps.Assist in the preparation and distribution of Summer Camper materials to the field.Assist in preparing and distributing employment packets for Camp Sebago staff and verify that all returned documentation is complete and accurate before filing.Attend all required Summer Food Service Program (SFSP) meetings as requested, in preparation for the camp season.Ensure accurate recording of all Summer Food Service Program participants and track relevant daily data appropriately.Coordinate the completion and submission of all Summer Food Service Program forms, code invoices/vouchers accordingly, and seek reimbursement when applicable.Assist in maintaining Camper/Staff CampMinder database & attend relevant trainings.Assist in maintaining ACA (American Camping Association) accreditation by participating in the preparation for accreditation visits and collaborating with Camp Directors and Assistant Directors to ensure compliance with standards throughout the year.Coordinate Camp Staff Payroll with DHQ in a timely and accurate manner; support all HR hiring and onboarding procedures.Coordinate all camp mailings, including processing camper mail, to ensure timely and accurate delivery of all items sent to campers. Qualifications Associate's degree (A. A.) or equivalent from two-year college or technical school and two years of related experience or equivalent combination preferred.Work out of the Camp Sebago office (either relocate or commute) any time from May 1st – August 31st each year, as agreed upon with the Divisional Youth Secretary.Valid driver’s license that meets The Salvation Army Insurance requirements.Must be an active Christian who is familiar with Salvation Army youth programming and willing to support the mission of The Salvation Army.Good organizational skills and excellent time management.Ability to work cohesively in a team setting while being self-directed.Excellent communication skills in written and verbal forms. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher) as well as Google Docs, Teams and applications.Knowledge of graphic design.Must have the ability to interact with officers and employees from all levels of the organization.Current First Aid certification.
