About the Role 
The Director of Residence Club will provide strategic leadership and operational support for all aspects of residential operations at the Four Seasons Residence Club Scottsdale and assigned properties. This role ensures that residential leaders are advocating effectively for homeowners and homeowner associations (HOAs) while representing the residential perspective in collaboration with hotel operations, Planning Committees, and developers. The ideal candidate will demonstrate a deep understanding of residential management, governing documents, local and governmental policies, and financial structures including direct and allocated expenses. 

 

Four Seasons Residence Club Scottsdale 

There are 45 two-bedroom lock-off units yielding a total of 90 keys. We have an ownership base of 1,048 who own varying number of weeks. A portion of the inventory is set aside for the rental program, which is available to owners who wish to extend their stay and external guests. Amenities include a clubhouse with library, game room, and fitness center.  There is one restaurant outlet, Ocotillo Grill, serving lunch 365 days a year as well as BBQ grilling areas for owner use.

Residential Leadership / People Development 

Leadership Behaviors: 

Residential leaders consistently demonstrate Four Seasons leadership behaviors with all stakeholders, including employees. 

Residential leadership collaborates with resort Planning Committees to address key issues impacting HOA operations, homeowner experiences, financial results, and employee engagement. 

Residential leadership prioritizes collaboration between resort and residential operations to address service and product concerns. 

Leadership seeks to resolve stakeholder concerns with win-win solutions that balance diverse interests. 

Creates an environment that fosters trust and openness for all employees.

Advocates for an MIT program or cross-training plan to provide growth opportunities within residential operations.

Residential Services 

A La Carte Services: 

Residential teams collaborate with resort operations to ensure homeowners receive competitive pricing for a la carte services.  Maintains accurate tracking of service and financial results, with regular updates to stakeholders. 

 

Resort vs Residential Services: 

Clear guidelines define services provided by resort employees versus residential employees. 

Regular meetings between residential and resort leadership to address service deficiencies reported by employees, residence club owners, rental guests. 

 

Elite Services

Ensures Elite members receive best in class recognition and service.   

Conducts new Board members orientations. 

Highlights homeowner arrivals during daily and weekly operations meetings. 

 

Operating Systems 

Fully utilizes all relevant software and technology to ensure brand compliance. 

Tracks and shares monthly results for tools such as Golden, Golden Home, Mobile Chat, and KEY. 

Maintains a passing score on the monthly residential technology dashboard. 

 

Stakeholder Relationships 

Ensures all employees understand the roles of various stakeholders (e.g., Board President, Board, Resort Owner, PC). 

Implements a robust, well-planned communication strategy for all stakeholders. 

Engages actively in Villa and Residences Rental performance and supports Sales & Marketing communication efforts. 

Fosters trusting relationships with Board Members and homeowners. 

 

Asset Management 

Capital Planning: 

Possesses a thorough understanding of capital planning, funding, timelines, and approval processes. 

Completes a reserve study every 18-24 months, sharing findings with stakeholders. 

Maintains proper funding for HOA reserves at least five years out. 

Executes approved capital projects as planned. 

 

Asset Registration: 

Ensures a complete understanding and accurate tracking of HOA assets. 

Maintains assets through regular inventories and proper documentation. 

 

Insurance, Security, Legal: 

Thorough understanding of insurance requirements and responsibilities. 

Keeps accurate records of all insurance claims, both settled and pending. 

Keeps stakeholders informed of any insurance, security, or legal liabilities. 

Ensures HOA has legal counsel readily available to assist the Board. 

 

Maintenance Plan: 

Implements and adheres to a preventative maintenance plan, completing work on schedule. 

Regularly inspects villas and common areas, maintaining accurate records to ensure high standards and proper billing for expenses. 

 

Renovation Process: 

Ensures compliance with governing documents, including P&Ps, forms, and regulations. 

Defines roles and responsibilities for the residential team regarding individual villa renovations. 

 

Financial Management 

Cost Management: 

Thorough understanding of direct and allocated expenses. 

Continuously seeks efficiencies to reduce or maintain costs without compromising service or product quality. 

Keeps homeowners informed and supportive of how expenses are managed for the HOA. 

 

Financial Reporting and Accounting: 

Maintains accurate financial records and distributes reports monthly to Boards and quarterly to Four Seasons. 

Ensures timely and clean independent audits. 

Facilitates monthly meetings between residential and resort operations to review financial reports and address variances. 

Enforces delinquency policies per governing documents. 

Manages surpluses or deficits in line with governing documents. 

Prepares and leads Four Seasons corporate and HOA budget presentations. 

 

HOA Governance 

Ensures thorough understanding and compliance with all agreements and governing documents. 

Validates compliance with the management agreement to avoid conflicts with current practices or the Four Seasons management agreement. 

 

Four Seasons Residence Club Scottsdale - Regional Director of Residences Responsibilities 

Act as a strategic advocate for homeowners and HOAs, fostering positive relationships and ensuring alignment with the broader operational goals of assigned properties. 

Collaborate with Corporate Residential team and Directors of Residences to implement and sustain global residential initiatives, including vision, strategies, and key projects. 

Maintain a thorough understanding of each property’s structure, governing documents, financial situation and local compliance requirements. 

Ensure financial accountability by analyzing and managing direct and allocated expenses effectively. 

Support and mentor Directors of Residences, ensuring consistency in service excellence and operational standards across all properties. 

Represent the residential perspective in hotel operations and with property developers, ensuring the seamless integration of residential and hospitality functions. 

Continuously seek innovative ways to enhance the resident experience and employee engagement. 

 

What you bring 

Previous experience in resort and urban environments; including rental program. 

Proven track record in residential operations with a strong understanding of luxury residential management and cultural sensitivity. 

Exceptional emotional intelligence and stakeholder management skills to foster strong relationships with homeowners, HOAs, hotel operations, local communities and employees. 

Visionary leadership with a demonstrated ability to drive innovation and continuous improvement in residential services. 

A minimum 2+ years of previous Rooms Division Management experience required.
