Director of Operations

Overview
The Director of Operations-Singer Contract is accountable for driving operational efficiency in the assigned areas while also identifying innovative and creative solutions to team and customer challenges, while working closely with internal and external partners. The ideal incumbent is comfortable with change, taking measured risk, and influencing decision-making.
Responsibilities
The day-to-day job duties will consist of performing or working with your admin team to accomplish the following:
Contract Review & Negotiations:
+ Review and sign contracts (when help is needed)
+ Confirm executed copy in job folder to begin submittals
+ Confirm AQ files are finalized to import into TRX
+ Prepare Schedule of Values (SOV) as needed
Change Orders & TRX:
+ Prepare change orders on projects that require the purchase of new equipment
+ Prepare change orders on projects that require altering pre-negotiated deals
+ Facilitate and manage the change order spreadsheet and confirming GC’s remain up to date in executing CO’s timely
+ Facilitate clean-up or service tickets in TRX as needed to keep project files accurate
Job Folders, Quickbase, and Workflow Management:
+ Make sure all project job folders are being maintained properly and are orderly
+ Train team on filing properly and how to label files properly
+ Maintain and manage the Quickbase program and all project data being input into system
Customers and Consultants:
+ Facilitate consultant relationships to help facilitate submittal review and acceptance
+ Call on end users and GC’s to maintain strong relationships and check on our performance
Submittals & PO Release:
+ Review all submittal packages for accuracy and confirm submittal submission dates are met
+ Confirm submittal packages are approved in their entirety
+ Negotiate vendor changes and pricing during revised & resubmit process of submittals
+ Run the weekly submittal coordination meeting
+ Perform submittal scrub for AQ accuracy and release of PO’s timely
+ Confirm all order acknowledgements are received, and ship dates meet installation schedule
+ Hire subcontractors to perform installation work on projects (as needed)
Punch Lists & Missing Equipment Reports:
+ Actively review all Missing Equipment Reports and manage the process of getting equipment in or tracking down missing items
+ Actively review and manage all punch lists for projects and confirm items are being ordered or processed from the admin side. Work with Contract Director to assist with any items needed on punch lists. Track open punch lists and establish a date of completion for punch lists
Start-ups, Demonstrations, and Close-Out Process:
+ Manage the equipment start-up process to confirm service agencies are lined up on time and execute start-ups. Confirm start-up paperwork is filed in job folders
+ Manage the demonstration schedule to confirm demo days are lined up for each project on time and rep groups are committed to performing demos. Confirm demo sign-off sheet is saved to job folder
+ Manage the close-out process on every job to confirm O&M manuals, warranty letters, and as-builts are submitted, approved, and filed in the appropriate job folders timely
Service Department:
+ Oversee the service schedule and assist with service calls as needed
+ Manage the service call process and work with factories to expedite calls
+ Monitor open service calls and any service work that is taking too long to complete. Assist in pushing the factories to complete the call on time
Ideal Candidate Will Possess the Following Skills and Abilities
+ High School diploma
+ College degree preferred
+ 10 years of experience in the food service industry
+ 5 years of experience in a similar role managing a food service department
+ Efficient in Microsoft Office, Teams, and AutoQuotes
