Purpose

The PRMO Director provides strategic and operational leadership for the Provider Referral Management Office, ensuring efficient referral pathways, fostering strong provider relationships, and aligning operations with organizational growth strategies. As the key leader tasked with establishing and building the PRMO group, this role will develop the team’s structure, define workflows, and implement systems to support seamless referral management and provider engagement. The PRMO Director collaborates closely with the Referral Coordination and Navigation (RCN) Office leadership to integrate clinical and non-clinical workflows, streamline processes, and enhance patient access.

Responsibilities

Strategic Leadership: Lead the development and execution of strategies to establish and optimize referral pathways and strengthen provider engagement. Align PRMO operations with organizational goals, including physician recruitment, retention, and service line growth. Collaborate with RCN Office leadership to ensure seamless integration of referral processes across clinical and non-clinical teams.

Team Development and Management: Build, develop, and oversee a team of Network Managers, Outreach Coordinators, and administrative staff. Define roles and responsibilities, set performance goals, and ensure staff are equipped with training and resources to succeed. Empower Network Managers to focus on building and strengthening provider relationships and identifying opportunities for network expansion. Guide Outreach Coordinators to develop and execute engagement activities, including events, provider communication, and relationship-building efforts. Ensure administrative staff provide critical support, including reporting, documentation, and inquiry management.

Provider Relations: Build and sustain relationships with external providers, fostering trust, engagement, and satisfaction. Address provider concerns, streamline communication, and support their role in the referral network. Develop and implement outreach initiatives to grow and strengthen referral partnerships.

Operational Oversight: Oversee day-to-day PRMO operations, ensuring efficient workflows that support patient access and care continuity. Collaborate with RCN Office leadership to harmonize referral processes and workflows across clinical and non-clinical teams. Ensure compliance with healthcare regulations and organizational policies in all referral management activities.

Data and Performance Management: Establish and track key performance indicators (KPIs) related to referral volumes, provider satisfaction, and operational efficiency. Use data analytics to identify gaps, refine processes, and enhance referral outcomes. Provide actionable insights and regular reports to leadership to demonstrate PRMO’s impact.

Support Growth and Strategic Initiatives: Partner with leadership to support organizational growth, including clinic expansions, and service line development. Drive the expansion of referral networks and optimize operational scalability to meet increasing patient and provider demands.

Perform other related duties as assigned.

Required Qualifications

Master’s degree in Healthcare Administration (MHA), Business Administration (MBA), or a related field. 5+ years of experience in provider relations, referral management, or healthcare operations. Proven ability to build and sustain referral networks, streamline workflows, and improve operational efficiency. Strong leadership skills with experience managing diverse teams and collaborating across clinical and administrative departments. Expertise in aligning operational processes with organizational growth strategies.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Familiarity with referral management systems and healthcare analytics tools. Experience working closely with Referral Coordination and Navigation (RCN) Office or similar teams managing referral workflows. Knowledge of healthcare regulations, compliance standards, and patient access processes.

Retirement Plan Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length. This position has the option to elect the Optional Retirement Program (ORP) instead of TRS, subject to the position being 40 hours per week and at least 135 days in length.
