**Responsibilities:**
GENERAL PURPOSE
In conjunction with other AS&E Advancement departments and staff (Academic Center: Student Life, Admissions, and Academic Excellence, Arts and Sciences, Hajim School of Engineering and Applied Sciences, and the River Campus Libraries) provide support as needed for fundraising, finance, data management, and reporting activities. With minimal direction and considerable latitude for independent judgment, acts as a key team member to all AS&E departments. Provides administrative and program support to AS&E Academic Center Advancement team. Works closely with colleagues internally and on campus to support the work of the University units advancement activities which includes working with senior administrative staff, deans, directors, faculty members, alumni, students, vendors, parents, and others. Must have good judgment, be able to problem solve, embrace the team concept, have excellent customer relations skills and be able to adjust to changing priorities and challenges in a busy environment.
**ESSENTIAL FUNCTIONS**
**Department Reporting Support - ASE**
+ In support of the Associate Vice Provost for University Advancement ensure effective liaison between all ASE departments and various University Advancement offices.
+ Manages and maintains, on an ongoing basis, priority fundraising information in both print and online for ASE including but not limited to naming opportunities, project/program purpose and advertising pieces.
+ Plans and contributes, on a monthly basis, to the pipeline and capital projects. This includes creating and maintaining prospect lists; creating and managing pipeline documents, creating snapshots for University leaders; maintain giving information in conjunction with Advancement’s Director of Finance.
+ Responsible for the proposal management reporting for the AVP.
+ Generate reports based on key metrics and funding priorities related to the upcoming Capital Campaign included but not limited to donor lists, quiet phase campaign planning, public phase campaign planning, proposal updates key projects with campus partners that fall under the ASE umbrella (Arts and Sciences, Engineering, Athletics, and Student Life)
+ Point person for data requests for special initiatives and projects.
+ Program Support – Academic Center for AS&E (Student Life, Athletics, Admissions and Enrollment)
+ Supports the Academic center team with their advancement activities.
**Programmatic Support**
+ Oversees and provides administrative support to the AS&E Academic Center and Athletics advancement teams.
+ Responsible for a wide scope of duties requiring a thorough understanding of administrative processes, procedures and practices; this requires a comprehensive knowledge of multiple database and calendaring systems, reimbursement processes, cultivation/solicitation plans, stewardship processes and key priorities for each school and department.
+ Independently prepares at least 3 gift officers for travel each traveling an average of 2x per month. Includes creating itineraries, processing contact reports, and making updates as needed. Anticipates the need for and procurement of background material. Maintains frequent communication as appropriate with campus partners. This can also include advancement associated travel for campus partners.
+ Manages and submits expense reports according to the University of Rochester expense procedures for gift officers. Must be aware of current University regulations for reimbursement and documentation, attending training sessions as needed to stay abreast of changing regulations.
+ Coordinates and executes fundraising reports for gift offices as well as department chairs, deans and other administrators within ASE. Independently provides regular updates on funds raised to said entities.
+ Manages calendars for gift officers, making decisions between competing events, ensuring sufficient transition time between meetings, and coordinating complex large group meetings.
+ Generate reports based on key metrics and funding priorities related to the upcoming capital campaign included, but not limited to, donor lists, quite phase campaign planning, public phase campaign planning, proposal updates, key projects with campus partners that fall under student life, admissions, and athletics.
+ Point person for data requests for special initiatives and projects.
**Financial Coordinator:**
+ Manage Arts, Sciences and Engineering finances, working with campus financial colleagues and Advancement gift office, as well as campus partners, to ensure proper allocation and spending of funds.
+ Responsible for the creation of new ASE allocations in coordination with campus finance offices, donor relations, and gift and donor records.
+ Works with campus financial colleagues and Advancement gift offices, as well as campus partners to audit quarterly holding accounts
+ Manage the creation of new allocations, mapping of allocations, audit spending purpose of funds and gift activity
+ Manage fundraising campaigns through tracking unit-level fundraising efforts and supports these efforts by coordinating communications, pipelines, and Oasis tracking. (Challenges and special initiatives)
+ Coordinates stewardship reports and appropriate communications
+ Tracks LYBUNTS, SYBUNTS, pledge payments, and the holding account for proper attention and action
+ Updates allocations as it relates to the dissolution of the college.
**Business Reporting:**
+ Accurately processes all gifts, including in-kind donations, received by ASE/The College.
+ Monitors gifts to ensure proper submission, accuracy of entry and accuracy of allocation on a daily basis.
+ Keeps current with proper level OASIS training within database systems to maintain access.
+ Audits, prepares reports and presents documentation on all allocations/accounts within each department and program in ASE. Independently ensures accuracy of asset allocation and donor intent to ensure that Deans, department chairs, and program directors understand how they may spend philanthropic funds on a quarterly basis.
**Other duties as assigned**
**QUALIFICATIONS**
+ Associates degree required.
+ Bachelor’s degree or equivalent preferred.
+ Two years’ administrative, nonprofit, or development experience or equivalent combination of education and experience required.
+ Proven ability to provide administrative support to multiple individuals, skill to coordinate travel, allocate finances, and expert knowledge of Microsoft office tools required.
+ Prior experience in event planning or development is highly preferred.
