THE ROLE
The Development Operations Coordinator is responsible for accurately recording and reconciling all donations, maintaining donor records in Salesforce, and ensuring timely acknowledgments and receipts. This role manages donor inquiries, oversees financial reconciliation, and prepares regular reports to support fundraising efforts. Acting as a liaison between the Development and Finance teams, the coordinator ensures seamless communication and compliance with legal and tax requirements. Additionally, they provide administrative support for donor stewardship, audits, and regulatory filings while maintaining nonprofit rating profiles. Strong attention to detail, database management skills, and excellent communication are essential for success in this role.
DUTIES AND RESPONSIBILITIES
Gift Processing & Data Entry:Accurately and promptly record all donations, including checks, credit card payments, wire transfers, and ACH payments, in the donor database (Salesforce).Review and update donor information, donation details, and payment data on donor records.Manage the central donations inbox, process daily donor inquiries, and handle gift notifications.Reconciliation & Reporting:Reconcile donation data with financial records to ensure accuracy and proper coding of gifts to the correct accounts, funds, or projects.Prepare weekly, monthly, and annual reports detailing incoming donations for management and accounting purposes.Donor Acknowledgment:Liaise with mail house partners to oversee donor acknowledgment processes.Generate and send timely, accurate thank-you letters, receipts, and acknowledgments to donors.Ensure compliance with legal and tax requirements for donor receipts and reporting.Maintain a high level of confidentiality and security for donor information.Communication:Swiftly resolve donor inquiries or discrepancies related to gift processing.Serve as the point of contact for collecting department content for the organization's newsletter.Partner with Finance Operations to ensure seamless communication between Development and Finance teams.Administrative Support:Assist in preparing development-related documents for audits, tax filings, and other regulatory requirements.Support scheduling and coordination for Development team activities.Maintain an up-to-date database of development team credentials.Provide administrative support for donor stewardship opportunities.Ensure external nonprofit rating and information sites (e.g., Guidestar, Charity Navigator) remain current.Other responsibilities as assigned.QUALIFICATIONS
Education & Experience:1-3 years of experience in nonprofit fundraising, gift processing, data entry, or a related administrative role.Skills & Qualifications:Strong attention to detail and accuracy in data entry and financial reconciliation.Proficiency in Microsoft Office Suite (Excel, Word, Outlook).Familiarity with CRM systems (Salesforce preferred), financial reconciliation, and reporting tools.Ability to handle sensitive donor information with discretion and maintain confidentiality.Excellent organizational and time-management skills, with the ability to manage multiple tasks and deadlines.Strong written and verbal communication skills, with the ability to interact professionally with donors and internal teams.Problem-solving mindset with a proactive approach to resolving discrepancies and improving processes.Additional Preferred Qualifications:Knowledge of tax and legal requirements related to charitable donations and donor acknowledgments.Prior experience working with third-party donation processing vendors or mail house partners.WORK ENVIRONMENT
This position is currently remote but is subject to change to a hybrid work schedule in the future depending on location. Employees may be required to work from the office on certain days as the organization transitions to a hybrid model.
