Desk Assistant – Office of Academic Support (Federal Work Study Priority)

The Office of Academic Support (OAS) at the University of Florida is seeking 2–3 reliable and motivated undergraduate students to join our team as Desk Assistants. This position offers a valuable opportunity to gain hands-on administrative and professional experience in a supportive and student-centered office environment.

As the first point of contact for students, staff, and campus visitors, Desk Assistants play a key role in ensuring that the office operates smoothly and efficiently. 

Responsibilities:

Provide excellent customer service by greeting and checking in students, guests, and visitors at the front desk. Answer, screen, and route phone calls, respond to voicemails, and manage incoming emails. Open and unlock office areas and classrooms at the start of the day; assist with general facility upkeep. Ensure all areas—including the front desk, lobby, study and tutoring spaces, storage rooms, conference room, and common offices—are organized, clean, and welcoming. Monitor and restock office supplies as needed; assist with receiving and distributing mail and packages. Perform basic data entry, assist with report preparation, and update spreadsheets and office databases as directed. Manage and track office inventory under the supervision of the administrative staff. Support with marketing and communications tasks, such as posting flyers, assembling outreach materials, and printing documents. Complete additional operational tasks such as watering plants, wiping down surfaces, moving supplies, and maintaining the cleanliness of shared areas. Occasionally assist with event setup, scheduling support, or special projects related to student services.

 

Expected Salary:

$13.00 per hour

Minimum Requirements: Must be a currently enrolled UF undergraduate student. Priority given to those with Federal Work Study (FWS) eligibility. In good academic standing with a minimum 2.0 GPA Preferred Qualifications: Punctual, dependable, and detail-oriented. Professional, courteous, and customer-service oriented. Strong verbal and written communication skills. Ability to manage time effectively, prioritize tasks, and work independently. Comfortable working in a fast-paced environment with changing priorities. Proficient in Microsoft Office Suite (Word, Excel, Outlook); familiarity with Adobe, Canva, MS Teams and other software is a plus. Quick learner with a positive attitude, adaptable and open to feedback. Previous administrative, customer service, or front desk experience preferred but not required.
