**Responsibilities:**
GENERAL PURPOSE:
With direction and some latitude for independent judgment, provides administrative assistance to the Associate Chair for Adult Ambulatory Care & Regional Strategy/Chief of the Division of Collaborative Care and Wellness (CCW), Academic Chief of CCW, and the Sr. Administrator of Adult Ambulatory Services in the Department of Psychiatry. Serves as principal assistant to the associate chair and sr. administrator. Manages specialized support functions; Performs routine and non-routine duties, requiring advanced project coordination and secretarial skills. Is responsible for considerable program administrative details and duties requiring extensive knowledge of policies, procedures and practices of the University, and Psychiatry. In department business matters has frequent contacts with clinical staff, faculty members, students and leadership. Is responsible for the accuracy and completion of the day-to-day operations. Subscribes to the Department’s goal of creating a culturally competent environment by treating patients, patient’s families, trainees, research subjects and co-workers in a sensitive and caring manner with appropriate attention to cultural differences.

**ESSENTIAL FUNCTIONS**
**Administrative/Secretarial Duties**
+ With general guidance as to priorities, manages the time and calendar of the Associate Chair, Academic Chief, and Sr. Administrator choosing or recommending among competing demands on time and arranging as appropriate.
+ Assists in preparation for various meetings and projects.
+ Arranges and maintains travel itineraries, conference/travel requests, expense reports and payment requests.
+ Creates routine and non-routine correspondence
+ Serves as liaison for Associate Chair and Sr. Administrator with internal and external constituencies.
+ Serves as resource to other administrative/secretarial staff.
**Division Support**
+ Organizes division meetings, creating agenda, taking and disseminating of minutes and tracking follow up
+ Communicates to division personnel necessary information that may come from division leadership.
+ Tracks CCW consult contracts and serves and acts as liaison between division, Psychiatry’s finance team, and contracting entity leadership
**Operations Support**
+ Manages PCard requests for Adult Ambulatory Services, following all appropriate policies and procedures for approval through the Sr. Administrator
+ Manages special projects for division as appropriate working with approved university vendors.
+ Provides backup support to clinical administrative team for the following:
+ Troubleshooting and facilitating service requests for Facilities, Environmental Health & Safety, Iron Mountain, ISD, Xerox etc.
+ Managing logistics for office moves.
+ Managing office equipment including copiers, telephones, and computers.
+ Ordering supplies, tracks inventory being mindful of budgetary restrictions.
**Communication**
+ Handles time sensitive confidential information/direct communication between Associate Chair, Sr. Administrator, and clinical directors
+ Relays the Associate Chair or Sr. Administrator’s instructions, preferences and concerns, and obtains reports or recommendations. Assures that division, department and/or Hospital officials and others concerned are informed of decisions

**QUALIFICATIONS**
+ Associate’s degree required.
+ 3 years of related work experience including at least 1 year in an administrative capacity in an academic office required.
+ Or equivalent combination of education and experience required.
+ Excellent written and verbal communication skills preferred.
+ Proficient in Microsoft Office Programs preferred.
+ Ability to think strategically and operationally at the same time preferred.
+ Ability to think critically and systemically preferred.
+ Ability to establish and maintain cooperative working relationships with individuals at all levels of the organization preferred.
+ Ability to promote and advance diversity, equity, and inclusion preferred.
+ Ability to work independently and meet deadlines preferred.
+ Experience with electronic medical records preferred.
