DEIA Program Assistant
Overview The U.S. Agency for International Development (USAID) Administrator provides overall direction to the Agency in its administration of the U.S. foreign economic assistance programs and the appropriations made available for such purposes under the Foreign Assistance Act of 1961, as amended. The USAID objective is to support partners to become self-reliant and capable of leading their own development journeys and make progress toward this by reducing the reach of conflict, preventing the spread of pandemic disease, and counteracting the drivers of violence, instability, transnational crime and other security threats. This position is located in USAID's Office of the Chief Diversity, Equity, Inclusion, and Accessibility (DEIA) Officer within the Office of the Administrator. As the Agency's corporate DEIA program office, DEIA translates foreign policy into DEIA solutions to achieve development results and advance DEIA in Agency programming and expand the diversity of the Agency’s partner base. The Program Assistant provides front-facing support to the People, Workplace, and Culture (PWC) Division Team by performing a variety of both complex and routine administrative and analytical duties that are critical to the overall functioning of the Division. The duties range from basic office tasks such as answering multi-line telephones, managing official correspondence and notes, distributing mail to coordinating with USAID bureaus/offices, managing calendars, reserving conference room space, and making logistical arrangements for events and outreach programs. The incumbent will be primarily responsible for acting as the office receptionist and will be required to personally handle routine inquiries and responses requiring knowledge of the organization's activities and/or its internal administrative procedures. Responsibilities 1. Provides administrative support to assigned principal(s) or director(s), exercises control over calendars, makes travel arrangements, and responds to scheduling requests; 2. Responsible for directing office guests, screening, and routing telephone calls, and greeting and escorting visitors; 3. Maintains contact lists and listservs, and updates databases, and directories; 4. Monitors and tracks invitations and scheduling requests for the Front Office leadership and responds accordingly; 5. Sorts and distributes daily incoming mail to appropriate staff; 6. Coordinates document and records management process to include maintenance of document folder structure, development of standard operating procedures, and supports Office in adherence to Agency guidance on records management; 7. Acts as Correspondence Control Contact for assigned taskers and executive level correspondence and routine actions on behalf of the PWC Division team; 8. Interacts with Agency bureau/independent office staff and interagency community members to coordinate a variety of administrative tasks; 9. Coordinates logistics for conference room reservations (audio-visual equipment, room set -up, special accommodations, etc.) for events hosted by the PWC Division; 10. Responds to non-technical requests and follows-up to ensure requests are completed; 11. Documents notes, summary of conclusions, and supports meeting follow-up; 12. Acts as team player ensuring that backstop support is provided in the absence of administrative support staff 13. Performs other duties as assigned. Proficiency in the use of Google Applications (Gmail, Calendar, Drive, Sheets, Docs, Forms, etc.) and Microsoft Office Suite (Word, Excel, PowerPoint); 2. Ability to work in a fast-paced environment with competing and shifting priorities; 3. Ability to efficiently multitask and prioritize workload accordingly; 4. Ability to establish and maintain effective working relationships and interact with people at all management and support levels; 5. U.S. citizen eligible to obtain a Secret level security clearance. 6. Bachelor's Degree and three (3) years of relevant experience that demonstrates skills and responsibilities commensurate with duties outlined in the scope. USAID Assumptions and Constraints: 1. Support may be required outside of core hours. 2. On-site work is required at minimum of 3 days per week. 3. Ability to telework will be based on USAID and office staffing requirements 4.
