Job Description/Responsibilities

The Customer Service Representative is responsible for entering customer orders, maintaining customer cross reference files, and working directly with both customers and internal contacts to resolve order entry issues. This role works closely with the operations department to ensure customers receive an uninterrupted flow of Sazerac products. The primary focus is to deliver world class customer service to distributors and fellow employees.

 

Enter orders from distributors accurately and in a timely manner. Communicate with and support production planning and distribution to ensure all reasonable customer requests and expectations are met or exceeded. Notify distributors of product availability or other issues with orders. Provide exceptional customer service by serving as a professional and friendly point of contact between distributors and operations.Ensure that all orders are accurate. Check entry of all orders entered for accuracy and settle any issues involving shipment of on time orders. Resolve aging order issues with customers and distribution to ship orders as soon as possible.Process all customer orders promptly and accurately. Run Daily Order report, match PO’s and verify all orders entered for previous day are on the report and acknowledgements have printed assuring all arrived at Distribution Center.  Research and resolve any issues with acknowledgements that may not have printed, determining what orders have been placed on hold for pricing or EDI orders requiring attention. Ensure adherence to Personal Safety, Food Safety, Quality and Environmental Policies and Practices.Maintain & troubleshoot Customer EDI Orders. Work to convert all customers to electronic order entry (EDI).Assist distributor orders for direct imports from order receipt thru invoicing. Track orders to ensure they are invoiced promptly based on customer terms.Identify, streamline, and document the order management process with focus on improving efficiencies, reducing errors, and improving the quality of work flow.Establish well organized priorities for self-including timely submission of work, order entries, intercompany transfers and allocation management. Understand expectations on priorities/tasks and update workflow related to priorities, projects and tasks on a timely basis. Maintain accurate priority list; complete assigned tasks in a timely fashion; develop and monitor progress towards accomplishment of priorities, projects and tasks.Create and develop a personal development plan with assistance of manager to improve a skill/competency that will develop personal skills and improve performance. Improve at least one skill each year as agreed with manager. Deliver on performance against outcomes. Continuously improve the quality of maintenance processes and services; and the culture in which we work.Develop the skills needed to attain the desired career path within the organization. Individuals are responsible for identifying their own career goals and communicating same to their manager.
