Job Summary:                                           

CASES is on the lookout for Court Representative Administrator to play a key role in ensuring the smooth operation of court services departments by managing a diverse set of administrative functions. The Court Representative Administrator requires a dynamic individual capable of handling various responsibilities including document management, scheduling, billing, and office organization. The Court Representative Administrator demands a professional who can maintain accurate logs, assist with office equipment, and foster relationships with court stakeholders, all while adhering to agency policies and maintaining flexibility with work hours. 

CASES’s Court Services department plays a pivotal role, offering court-mandated or endorsed programs throughout the criminal legal process. These programs, which include alternatives to detention and incarceration, are supported by the New York State Office of Court Administration and are integral to the judicial process. CASES collaborates with a broad network of stakeholders to provide these program options, benefiting thousands of defendants across various boroughs. The arraignment team's diligent screening of defendants for program eligibility, along with the intake assessment team's efforts to divert individuals into community-based programs, underscores CASES's commitment to its mission.

 

Salary:  The salary for the Court Representative Administrator is $45,000 per year.

Shift Hours: The Court Representative Administrator is full-time working Monday through Friday from 10:30am to 6:30pm.

What you will be doing: 

Maintain all teams’ documents for hiring, and scheduling.Create schedules, assist with unique scheduling (365 days a year) and maintain holiday staffing records.Create logs and assist with billing for court services departments.health needs. Identify engagement strategies, behavioral change focus, and necessary supports to minimize re-arrest and promote successful community integration.Complete ordering for the team and archives receipts accurately.Assist with office organization, cleanliness and maintaining inventory. Assist with office equipment (i.e. Remarkable system, etc.) and troubleshooting for team members.Maintain logs for metro cards and petty cash for the team and clients.Attend weekly/biweekly staff meetings and records minutes accurately. Assist in creation of policy and training materials for the team.Assist with review of documents and editing for team documents. Create and maintain relationships with court stakeholders. Assist with data entry and auditing and documentation in our databases. Attend and participate in weekly supervision, program meetings, and agency and/or funder trainings.Perform other responsibilities and duties as assigned by Senior Director, Director, Team Leader or Assistant Team Leaders. Maintain flexibility with shift hours and schedule to ensure all work is completed in a timely manner. 

 

What we are looking for: 

Two years of experience in data entry and data management, including report generation. An associate degree is required.Experience within a community-based organization as support staff, evaluator, or direct service provider.Knowledge and proficiency of MS Word, Excel, PowerPoint, Outlook, and possess a willingness to learn new programs as needed.Ability to work effectively with a diverse group of participants and staff.Interest in and sensitivity to issues facing justice-involved individuals.Ability to quickly gather and evaluate the accuracy of information, using good judgment within time constraints and high-volume courtrooms.Excellent public speaking skills, with the ability to formulate persuasive arguments for eligible defendants to be placed in CASES programs.Excellent communication and interpersonal skills, coupled with strong analytical and problem-solving abilities.Effective in high-paced, high-stakes environments, with a strong capacity for independent work.Maintains confidentiality and exercises high levels of judgment and discretion.Proven ability to work autonomously. Proficient in creating and maintaining well-organized administrative and operational systems.
