Position Responsibilities:

Keeps required information as well as the control of records, statistics and reports regarding operations, personnel changes, etc.

Assists in screening telephone calls, greeting visitors and resolving routine and complex inquiries related to the department.

Assists with the arrangements of departmental seminars/classes and coordinates travel arrangements for managers, directors and other employees when attending seminars outside of the area.

Maintains updated Human Resources files for employees within the Patient Access department as well as maintains and updates employee contact information listing.

Maintains and updates the policy and procedures to ensure that administrative signatures are obtained and proper distribution is made.

Initiates work repair orders, Telephone, IT orders and works closely with the corresponding department as to status of completion.

Monitors all  employees evaluations to make sure they are done on a timely basis, prepare forms for all promotions, demotions or re-classifications, prepares all proper documentation for terminations, forwards to Human Resources and payroll.

Updates the payroll record for the entire department. Checks it daily and reports LUR to corresponding department daily.  Follow hospital policies when adding comments, reconciling time cards or entering edits in Kronos. Submits to the Patient Access Director every two weeks (on payroll week) for review prior to sign off.

Keeps control of open positions by maintaining a close relationship with Human Resources in the posting/advertisement of open positions.  Works closely with the Director in keeping the organizational chart up to date.

Provides direct secretarial support to the Director of Patient Access and/or Managers.

Completes presentations and reports to Director and/or Managers as requested, using collected data and other pertinent information to meet predetermined deadlines and guidelines.

Handles all preparation for the Leadership, Managers meeting and additional meetings as necessary. Ensures that meeting notices are sent out in a timely manner. Takes accurate minutes of discussion and provides draft of minutes to Director within 7 working days. 

Assists co-workers when front-end departments are short staff.

Contacts vendors for balances that have been identified as debtor's responsibility.

Follows up and notifies Director on a monthly basis all accounts identified at 60 days with no payment received from vendor.

Collects balances in full.

Prepares monthly Alliance billing for House Call Program.

Qualifications:

One year experience in hospital customer service/office/secritarial  One year experience in computer usage. High School Graduate or equivalent level or training. Bilingual in English and Spanish
