BASIC FUNCTION:

Manage all aspects of personnel services for Facilities Operations. Serve as liaison with Human Resources. Work with Facilities Operations Assistant Directors in the areas of personnel budgetary needs, recruitment and placement, personnel records administration, benefits, classification and compensation, and employee relations.

Serve as Facilities Operations point of contact for the Commencement Committee and Chair to coordinate activities, procedures, and communication with the Facilities Operations Departments necessary to accomplish the logistical and maintenance functions for Commencement.

Manage and facilitate the Facilities Operations Department in-house training and safety program in collaboration with the appropriate parties. Consulting with the Facilities Services management staff and departmental supervisors, identify needs and serve as the principal resource person. Analyze and recommend budget requirements and related costs.

Duties and Responsibilities ESSENTIAL DUTIES AND RESPONSIBILITIES:

Serve as Facilities Operations personnel coordinator/contact and liaison to Human Resources.

Administer personnel services functions for all Facilities Operations employees, including the processing and maintenance of employee records, files, databases, vacancy reports, and time approval.

Manage the processing and tracking of paperwork for new hires, transfers, leave requests, and terminations.

Coordinate interviews and the appointments of applicants to positions.

Review reclassification requests for classified and non-classified positions.

Assist the Assistant Directors with the researching of and writing of job descriptions, develop organizational charts, conduct salary surveys, and analyze comparable positions to determine appropriate placement for reclassified and new positions for Facilities Operations.

Collaborate with the Director and Facilities Operations Business Office to ensure personnel budgetary needs are met.

Review and approve contracts created by Facilities Operations that support commencement (folding chairs, fencing, Stage Construction etc.) and ensure the contracts meet the needs of the Commencement Committee. Ensure logistical requirements are met and venues are in compliance with URI commencement plans. Assist with the coordination of URI staff from other departments that are assigned duties in support of commencement.

OTHER DUTIES AND RESPONSIBILITIES:

Manage the content of the Facilities Services Website. Keep the site information up to date and be able to work with IT for technical support.

Supervise administrative and other assigned support staff; oversee the preparation and processing of both routine and important/complex correspondence.

Handle information of a confidential nature.

Perform other duties as assigned including but not limited to coordinating the data gathering for the Gordian/Sightlines assessment and planning initiative.

LICENSES, TOOLS, AND EQUIPMENT:

Personal computers, printers; Microsoft Office Suite (Word, Excel, Access, PowerPoint, Outlook), Microsoft Publisher, Visio, Facility Center (CMMS)

Required Qualifications REQUIRED:

1. Bachelor’s degree.

2. Minimum of two years of experience in a complex administrative position in an educational and/or facilities operations setting.

3. Demonstrated personnel management experience.

4. Demonstrated experience with recruitment and hiring of professional and/or student staff.

5. Demonstrated computer skills (i.e., word processing, database management and spreadsheet software).

6. Willingness to learn new computer software and programs.

7. Demonstrated ability to work with diverse groups/populations.

8. Demonstrated strong interpersonal and verbal communication skills.

9. Demonstrated proficiency in written communication skills.

10. Demonstrated supervisory experience.

Preferred Qualifications PREFERRED:

1. Demonstrated personnel management experience in an educational setting.

2. Demonstrated experience working with a labor union environment.

3. Demonstrated experience with Oracle and Peoplesoft.
