BASIC FUNCTION:
As part of the Graduate School of Oceanography’s (GSO) Coastal Resources Center (CRC), assist Directors and Principal Investigators (PIs) in performing fiscal and administrative functions to support the Center’s programming portfolio. Support proposal development and perform post award administrative, financial management, and accounting tasks.
Duties and Responsibilities ESSENTIAL DUTIES AND RESPONSIBILITIES:
Assist PIs in the development of multi-year budgets for proposals and projects with sub-awardees and provide required supporting documentation.
Perform administrative tasks including, but not limited to, purchasing; managing contracts and sub-awards; assisting in hiring and training program staff; processing invoices; processing travel; monitoring budgets; reviewing source documentation. All tasks must be performed in accordance with university, state, federal and sponsor guidelines, policies, and procedures.
Assist with financial and administrative issues, including those related to audits, contracts, invoicing, human resources matters, or procedural questions.
Assist with other tasks such as workshops, study tours, and other logistics.
As requested, assist the Center’s Directors with special projects and administrative assignments.
OTHER DUTIES AND RESPONSIBILITIES:
Perform additional duties as required.
Must be available occasionally outside of normal business hours to meet proposal submission timelines, attend conference calls with participants in international time zones, and attend to time sensitive event logistics.
LICENSES, TOOLS, AND EQUIPMENT:
Personal computers, printers, word processing, database management, on-line reporting tools and collaboration systems, and software systems for spreadsheets (i.e., Excel, Google), video conferencing, and project management.
Required Qualifications REQUIRED:
1. Bachelor’s degree.
2. Minimum of three years of general business, project administration, and/or finance experience.
3. Demonstrated experience in financial reporting and analysis.
4. Demonstrated familiarity with proposal development and submission.
5. Demonstrated experience building budgets in Microsoft Excel.
6. Demonstrated strong interpersonal and verbal communication skills.
7. Demonstrated proficiency in written communication skills.
8. Demonstrated ability to work with diverse groups/populations.
9. Demonstrated ability to prioritize and multitask in a deadline-driven environment.
10. Willingness to travel domestically and/or internationally as needed (i.e., once or more annually).
Preferred Qualifications PREFERRED:
1. Demonstrated experience administering federal grants.
2. Demonstrated experience managing personnel projections.
3. Demonstrated experience working in a research setting at a university, college, government agency, or non-profit.
4. Demonstrated experience utilizing grant software such as InfoEd.
