Coordinator, Capital Projects
What you'll do The Project Coordinator will play a vital role in supporting the successful execution of capital projects within the Corporate Real Estate team. Reporting to the Project Manager, the coordinator will manage project-level reporting, coordinate activities across internal and external teams, and ensure adherence to corporate standards, timelines, and budgets. This position is a two-year contract role with potential opportunities to work on transformative initiatives across the organization. Project Coordination: + Support project managers by maintaining project plans, schedules, budgets, and timelines. + Coordinate activities across internal teams, external vendors, and consultants. + Serve as the primary liaison for workplace solutions, design reviews, and construction progress updates. Documentation & Reporting: + Maintain and update project documentation, including meeting minutes, contracts, and project logs. + Track project budgets, procurement activities, and financial reporting, ensuring audit readiness. + Prepare and circulate dashboards, monthly forecasts, and progress reports. Vendor & Stakeholder Management: + Manage vendor onboarding, payment processes, and day-to-day inquiries. + Collaborate with consultants, construction managers, and IT/LP teams to ensure seamless project execution. Administrative Support: + Coordinate meetings, prepare presentations, and disseminate information to stakeholders. + Maintain project filing systems (e.g., SharePoint) and ensure compliance with corporate protocols. What you bring Education & Experience: + 5 years of experience in project coordination, preferably within corporate real estate or construction. Skills & Competencies: + Strong organizational and time-management skills with the ability to handle multiple priorities. + Proficiency in project management software (e.g., MS Project, Lucernex, Coupa, or equivalent). + Exceptional communication and interpersonal skills for effective stakeholder engagement. + Detail-oriented with a commitment to quality and compliance. Technical Skills: + Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint). + Experience with project documentation and reporting tools. + Familiarity with budget tracking and financial reporting processes. Preferred: + Knowledge of workplace solutions and design coordination. + Experience in a fast-paced, matrixed organizational structure.
