The Zone Contract Administration Supervisor is responsible for supporting the Zone Vice President and other members of the leadership team with administrative activities such as scheduling travel, financial expense support, meeting coordination, minute taking, and coordinating special projects in addition to managing a team of administrative assistants throughout the zone. Why is this so important? Our Zone Administrative Supervisors manage a wide variety of functions required to keep our zone operating smoothly and successfully. 

This position is Hybrid within the Atlantic zone. (PA, Ohio, Tennesee, Kentucky, Virginia, DC, and Baltimore) 

As a Zone Contract Administration Supervisor, you will: 

Supervise 7-8 administrative assistants/team assistants located within the Atlantic zone branch offices. (Pittsburgh, PA, Ohio, Tennesee, Kentucky, Virginia, DC, and Baltimore) Schedule and organize activities such as meetings, travel, conferences, special projects, and events for members of the leadership team.Assist/follow-up with fleet administration for roles that require participation in the Siemens Vehicle Plan.Act as the zone point of contact for safety initiatives ensuring the zone is hitting safety targets.Organize and prioritize large volumes of information and communication.Perform onboarding and off-boarding activities for new hires and terminated employees.Assist with processing/follow-up on branch invoices/purchase Prepare and design charts, tables, graphs, business plans, presentations, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes so that the final copy is accurate and clear.Support the leadership team with the proficient use of software, including MS Office, OneSRM (indirect purchase orders), Concur (Expenses), aspects of SAP (ERP system), onboarding software, SharePoint, etc.Work flexible hours as needed to accomplish tasks.Work well in a highly matrixed organization, and with managers and employees of all levels to advise on, gather, prepare, and vet material in a poised and tactful manner.Manage a team of administrative assistants who provide support to business teams in the zone.

Basic Qualifications:  

High School Diploma or state-recognized GED 7+ years of administrative assistant experience supporting leadership teamsRequired travel: 25%Demonstrated organizational, project, and time management skills to perform and prioritize multiple tasks seamlessly with excellent attention to detailExcellent verbal and written communication skills Proficiency with MS Office suite and the aptitude to quickly master additional software programs Legally authorized to work in the United States on a continual and permanent basis without company sponsorship 

Preferred Qualifications: 

Bachelor's degree in Business or related fieldPrior supervisory experience

The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
