Continuing Medical Education Program Coordinator

Our hospitals, care sites and clinicians are recognized for clinical and operational excellence. **Primary Function/General Purpose of Position** Under direction of the Continuing Medical Education Manager, the Continuing Medical Education (CME) Program Coordinator is responsible for the planning, coordination, and implementation of Continuing Medical Education activities to support the professional development of healthcare providers. This role ensures compliance with accreditation standards, oversees logistics for educational events, and fosters a culture of lifelong learning within the hospital/health system. Maintains a working knowledge of Accreditation Council for Continuing Medical Education (ACCME), Ohio State Medical Association (OSMA), American Academy of Family Physicians (AAFP) and American Osteopathic Association (AOA) CME accreditation policies, procedures and accreditation standards. The position requires collaboration with leadership, faculty, staff, and students to achieve programmatic goals, and provides administrative support. The coordinator also serves as a liaison between internal and external stakeholders ensuring seamless coordination and efficient operation of all program components. **Essential Job Functions** + Exercise independent judgment and discretion in significant matters related to program planning, resource allocation, policy development, and decision-making, demonstrating a high level of autonomy in performing job duties. + Assures that the CME accreditation standards, guidelines and policies of all accreditation standards, guidelines and policies of all accrediting and regulatory bodies are met during CME program planning, including but not limited to the American Medical Association, Accreditation Council for Continuing Medical Education, American Osteopathic Association, American Academy of Family Practice, and the Ohio State Medical Association. Stays abreast of all updates to the above policies. + Coordinates CME activities. Assists with speaker recruitment, development of program schedule, coordinates services such as facility scheduling, catering and registrations, etc. Ensures that CME activity planning is based on documented needs assessment. + Utilizes established checklists and spreadsheets for CME Program Planning with careful attention to timelines for marketing, registration processing, and post-conference follow-up. Assists in streamlining of processes as needs are identified. + Acts as a liaison with physicians, pharmaceutical representatives, hospital leadership, and supports departments to plan CME activities in accordance with the accreditation standards, including the Standards for Integrity and Independence in Accredited Continuing Education. + Recruit, secure, and manage exhibitors for accredited CME events, including identifying potential exhibitors, coordinating agreements, ensuring compliance with ACCME guidelines, and providing on-site support to enhance exhibitor satisfaction and engagement. + Collects attendance data within prescribed timeline and tracks data in CME database. Prepares credit summary reports as needed for practitioners. Posts online conference material, processes registration payments, and reconciles Major Conference budgets. + Attends onsite and local Major and Regularly Scheduled Series CME events as required, distributes conference material, and collects conference evaluation forms. Represents the CME Department by being knowledgeable about upcoming conferences, policies and procedures, and demonstrating professionalism. + Develops and maintains minutes, ongoing planning logs and program files for documentation as required by the accrediting entities. + Completes applications for continued accreditation and prepares onsite documentation to present CME programs to accreditation review teams. Participates in accreditation surveys as required. + Arranges venues, audiovisual support, catering, and other logistics for in-person and virtual CME events. + Manages Maintenance of Certification (MOC) for CME to assist physicians with board certification requirements through accredited CME activities awarding MOC. + Tracks evaluations, reports credits, and prepares reports as requested. + Maintains and develop program content on the Organization's intranet site. + Responds to incoming calls regarding CME program inquiries, credit reports, and requests for new programs based on department policies and procedures. + Designs and distributes marketing material for CME programs in accordance with established Mercy Health marketing policies. Works with internal departments to facilitate marketing efforts (Marketing, AV, IT, GME, and others.) (Required) **Education** Bachelor’s degree in healthcare administration, education, or a related field. (Required) **Work Experience** 2 years experience in event coordination, healthcare, or medical education.
