Job Summary

Conferences & Events has an immediate opening for a Conference & Events Program Manager. This position will report to the Director of Conferences and Events. The Conference & Events Program Manager is responsible for event reservation scheduling, event planning and logistics, event setup and teardown, audio visual, bar service, coordination of services with other university departments and on-site event management.

Working some nights and weekends is required.

Responsibilities*

Customer Service

Respond to inquiries from the website, phone calls and other online event servicesProvide venue tours to potential clients

Manage Events at UM-Flint

Computerized scheduling of events, pre-event planning, pricing, on-site event management, setup/takedownPrepare rental agreementsCollect, process and track payments for external eventsPrepare event diagrams for clients and event staffEffectively communicate and enforce university policiesInspect building facilities and equipment, process work orders and follow upProvide problem resolution and customer service with facility usersCoordinate services with other departments and vendors, including Safety, Facilities, IT, NBC Administration and othersComplete accurate and thorough facilities reportsServe on a variety of campus and community committees as neededOn-site event management required on some evenings and weekendsSupervise bar service eventsMake recommendations on policies and pricingFunctionally supervise Event Staff, Evening Supervisor, Office Assistant, Bartender positions.

Bar Service

Create bar service agreementsCollect, process and track payments for bar serviceMake recommendations on bar service policies and pricing

Audio/Visual

Determine the Audio/Visual needs for events.Knowledgeable of equipment setup, operation of equipment during the event and equipment teardown after the event

Other Duties as assigned

Required Qualifications*Associate's degree or equivalent combination of relevant education and/or experience.One or more years of experience in event planning

Modes of Work

Onsite
The work requires, or the supervisor approves a fully onsite presence.  Onsite is defined as a designated U-M owned or leased work location within or outside of the State of Michigan.

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department.  Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Background Screening
