A Closeout Coordinator is responsible for developing positive relationships with Operations Leadership & Project Teams; undertaking various support activities as directed by the Closeout Department including communicating and coordinating with local Project Teams; document preparation, collection, and organization; and other tasks.
Essential Duties and Responsibilities:
Manage administrative support functions and more complex tasks including establishing relative priorities of current and anticipated workload, organizing, and conducting assignments according to deadlines. Point of contact for closeout questions and guidance for Project Teams. Understand closeout requirements based on project plans and specifications. Prepare closeout logs in PM software based on Nabholz standards and construction documents. Prepare internal closeout documents. Collect closeout documents from subcontractors. Communicate about closeouts with subcontractors via email & phone. Coordinate, schedule, and record Owner training of building systems. Conduct closeout check-in meetings with Project Teams. Prepare closeout websites for distribution to clients. Potentially present completed closeout sites to clients. Set up office systems including file maintenance, correspondence deadlines, and project management for own work. Run/provide monthly closeout reports. Participate in special activities, committees, and events as requested. Attend training sessions & seminars. This job is safety sensitive for medical marijuana purposes. This position requires driving a personal vehicle on behalf of the company or a company vehicle; therefore, the applicant must successfully complete a motor vehicle records check, possess and maintain a current, valid driver's license in their state of residence, and immediately self-report convictions/violations/tickets to the DOT Compliance Specialist as per Company Policy. Any negative change in the status of the employee’s driving record may result in the revocation of the employee’s privilege to drive for the company. All other tasks as assigned.Education/Skill Requirements:
Educational and experience requirements include 1-2 years construction, business, or technical training.
Self-motivated, takes initiative, willingness to learn. Excellent communication (written and oral) skills. Maintain organization of department files. General knowledge of CSI specifications, construction documents, means & methods. Knowledge of office routines and business machines. Familiarity with Microsoft Office and Procore Project Management software, a plus.Physical Demands:
Ability to continuously sit, stand, or walk. Ability to bend, squat, climb stairs, and lift frequently. Ability to lift up to 25 pounds occasionally.Work environment:
Office, cubicle, workstation, or job site, job trailer.
