Position Title

Clinic Operations Coordinator

Position Summary / Career Interest:Responsible for accurate and timely action on accounts as it relates to specific responsibilities. Complies with governmental and managed care rules and regulations. Supports the administrator in the area of scheduling, billing, communications, information technology/electronic medical records, patient service representatives, and patient referrals. Meet department goals as well as productivity and quality standards. Attends and actively participates in training and education.

Responsibilities and Essential Job FunctionsCompletes assigned work queue within designated time frame. Reviews Explanation of Benefits for incorrect and or inconsistencies in reimbursement. Follows up with insurance companies on denials and insurance inquiries as necessary to resolve the account. Provides additional information or documentation as needed to resolve account. Notes actions taken on the accounts and verifies and updates insurance as directed by department policy. Functions as a user contact and customer service for student athletes. Serves as liaison between clinic and external agencies. Assist in monitoring and controlling clinic expenditure within budget. Manages Departmental EMR in relation to student athlete information and required forms Provides administrative services support to Departmental leadership. With athletic trainer’s assistance, develop a workflow and create a data base for all student athletes’ primary insurance information. Implement a process of systematic periodic review of the information to validate it is current and accurate. Coordinate all referrals to providers outside the athletic training room. Insure providers have accurate demographic and insurance information and athlete/athletic trainer have the documentation needed for the appointment. Establish a workflow to evaluate and appropriately process all medical bills for student athletes. Develop relationship with medical provider’s office staff to facilitate student athlete expedient access when possible. Establish process and manage flow of medical documentation from providers into the EMR in a timely manner. Serve as the gatekeeper for the main sports medicine facility. Assure that visitors, coaches and athletic staff are greeted and managed appropriately respecting HIPAA and FERPA rights of the athlete. Assist the Senior Administrator and Head Team Physicians in managing budget and other duties as assigned. Must be able to perform the professional, clinical and or technical competencies of the assigned unit or department. Required Education and ExperienceHigh School Graduate
Preferred Education and ExperienceBachelors Degree
Required Language SkillsFluent English - Read, write, speak and understand English
Knowledge RequirementsRequires highly developed skills and expertise in analysis Interpersonal communication, individual/organizational behavior, and administration.
