JOB DESCRIPTION

The FOX Studio Lot is looking for a Facilities Clerk (B), Studio Operations to assist the Maintenance (Carpentry), Labor, Paint, Plumbing, and Plant Management Departments.

A SNAPSHOT OF YOUR RESPONSIBILITIES

Administer FoxPay timekeeping, labor distribution coding, and vacation request forms for staff in assigned departmentsReview and organize employee/crew time and confirm job charge codes before FoxPay input by maintaining Daily Charge Sheet Matrix record as needed for assigned departmentsProcess onboarding of new hires and terminations in Workday with follow through to confirm completion/synchronization in both Workday and FoxPay applicationsSupplement/back-up Facilities Clerk – Electrical & HVAC Departments as needed in the above tasksSupplement/back-up office personnel in Facilities OperationsAnswer and direct calls as neededOrganize AmEx receipts and reconcile with monthly billing statements, following up with vendors, suppliers, and other departments as necessaryVerify, code, and input vendor invoices into the Coupa for processing as assignedAssist with onboarding new vendors in Coupa (AP)Assist Director of Plant Management with calendar/meeting coordination, AmEx processing, Coupa reports, CPR/Work Order requests into Workday, general office workAssist with tracking of changes/updates as they occur, compile information, and pass on to Department Foreman/FMI for system updatesAssist assigned departments with daily operations including:Coordinate and schedule deliveries and site visits by vendors to the lot as directed, initiate drive on passes as neededCommunicate via two-way radio to with Maintenance/Labor/Paint staffContact Security to open on-lot job site for assigned department staff as neededObtain new or confirm existing charge codes for work from requesting departments, Finance, or clients as neededAssist with general office needs including but not limited to drive-on passes, stock/restock office supplies, etc.Pick-up and/or deliver paperwork necessary for maintaining operationsGeneral filing/organization of departmental paperwork

WHAT YOU WILL NEED

2 - 4 years of experience supporting large campuses, multiple tenant facilities, or production studio operationsExceptional interpersonal communication, verbal and writtenDemonstrated ability to provide excellent customer service and swift resolution to questions and concernsExcellent computer skills i.e., Microsoft Outlook, Word, Excel, AdobeAbility to resolve conflicts quickly and professionally under pressureAbility to train across multiple job functionsResourceful and solutions-oriented with a high level of organizational skillsSelf-directed and autonomous in performing dutiesAble to respond to unforeseen situations, unplanned events or requests, last minute changes with grace and professionalismAble to stand, walk, and sit as required to perform all job functionsMaintain confidentiality of company and customer information, data, and materialsDependable/reliable with excellent attendance recordAvailable to work overtime with short noticeAdhere to all departmental and company, safety and security policies and procedures

Pursuant to state and local pay disclosure requirements, the pay rate/range for this role, with final offer amount dependent on education, skills, experience, and location is $26.11 per hour. We provide medical/dental/vision insurance and 401k after they meet eligibility criteria and any State required time-off, in accordance with applicable plan documents. Benefits for Union represented employees will be in accordance with the applicable collective bargaining agreement.
