Centralized Access Supervisor

Job Description:

Job Summary:

The Centralized Access Supervisor is responsible for ensuring the professional and technical operation of the centralized access team through providing supervision of the Centralized Access Coordinators. The Centralized Access Supervisor is responsible for ensuring all department policies and procedures are followed on a day-to-day basis, assures the team functions in accordance with strategic initiatives, and follows all State and Federal guidelines.

Essential Job Functions:

Maintains, monitors, and reports to leadership the Point-of-Service (POS) collection activities, barriers, and mitigation plan if needed.Maintains, monitors, and reports to leadership and Quality Management (QM) the Slide Application activities, barriers, and mitigation plan if needed.Maintains, monitors, and reports to leadership and QM the Chart Review activities, barriers, and mitigation plan if needed.Reviews and distributes messages for after-hours crisis with BHR.Collects mail, post office drops/pick-up, certified mail, medication, etc.Sorts mail, pulls all Vendor invoices, approves and sends to AP for payment.Perform management responsibilities to include but are not limited to hiring and termination decisions, coaching and development, rewards and recognition, performance management, and staff productivity for the Centralized access team.Approves Coordinators' time and attendance; monitors schedule and PTO.Initiates Incident Report upon notice of Deceased client/patient.Corrects any file/charting deficiencies within the appropriate time frame.Works closely with billing to ensure clean claims prior to initial submission and/or any front-end errors/processes that may need to be reviewed as a result of Front Desk QA, Face/Data sheets QA and/or payer denials.Maintain positive, professional relationships with referral sources, clients, and coworkers, adhering to Code of Ethics and agency policies.Offer administrative support to clinical staff in completion of letters, forms, etc.Other duties as assigned by the Clinical Supervisor, Program Director, Vice President, and/or Executive Team members.

Knowledge, Skills, and Abilities:

Excellent verbal and written communication skills.Ability to prioritize tasks/duties and manage multiple tasks while meeting deadlines.Basic Computer Skills in Microsoft Applications.Knowledge of confidentiality laws related to treating mental illnesses and substance abuse.Extensive knowledge of the policies, procedures, and regulations of the program to which the associate is assigned.Attentive to detail.

Experience and Education Qualifications:

Graduate from an accredited college or university with a Bachelor’s degree in Business Management, Administration, Health Management, or closely related (preferred) ORHigh School Diploma or General Equivalency Diploma AND at least four years of experience in customer service, medical terminology, insurance procedures and point of service collections.AAHAM Certification or obtain within 12 months of employmentOne-year experience in medical office oversight, preferred, but not required.

Employment Requirements:

Successful completion of background check including criminal record, driving record, abuse/neglect.Completion of New Hire Orientation at the beginning of employment.All training requirements including Relias at the beginning of employment and annually thereafter.Current driver’s license, acceptable driving record and current auto insurance.First Aid certification within three (3) months of beginning employment and upon renewal date.Obtain CPR certification within three (3) months of beginning employment and upon renewal date.Must provide evidence that incumbent is free of infectious and contagious disease, such as TB, prior to beginning employment and annually thereafter. – expected for all direct care staff, but mandatory for RCF staff.
