I. Major Responsibilities:
1. Oversees and manages Department staff in conjunction with Department Manager. Acts as a motivator, supervisor and mentor.
2. Answers telephone inquiries, appropriately triages calls and records complete and accurate information. Provides and documents instructions given to callers in the EHR. Uses the call process in EHR consistently.
3. Schedules appointments. – a. Uses templates correctly. b. Uses appointment types and times correctly. c. Utilizes all PCP sites for scheduling same-day appointments. d. Schedules TCM for all offices appropriately. e. Ensures patients' insurance is active prior to scheduling appointments.
4. Precepts and assists with training of new personnel. Assists with training and education to the department. Assists existing personnel with needs throughout the department.
5. Provides INR and Task bin back-up to on-site nurses.
6. Understands and applies the self-pay policy to inform patients of their financial obligations when arriving for their appointment.
7. Orders and maintains departmental supplies, comfortable environment and equipment to maintain a productive work environment for staff.
8. Provides and maintains proper phone etiquette and good customer service. Able to handle caller complaints, deescalate situations, maintain professionalism during difficult interactions and assist in providing service recovery to salvage a sub-optimal experience.
9. Demonstrates a working knowledge of HIPAA guidelines. Adheres to our policies for releasing patient information. Understands the difference between and can explain to patients the difference between a healthcare proxy, power of attorney and HIPAA appointee.
10. Maintains knowledge of current coding, OSHA and CLIA regulations, and HPS policies.
11. Assists coworkers as possible to assure smooth office operation and delivery of excellent services through teamwork, following appropriate workflows.
12. Performs other duties and projects as assigned.

II. Position Qualifications:
License/Certification/Education:
Required:
1. Graduation from an accredited school of nursing with current licensure by the Commonwealth of Massachusetts.
Experience/Skills:
Required:
1. Knowledge of medical specialty.
2. Minimum 1 year of health care experience.
3. CPR certification.
4. Basic computer knowledge.
Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job description. Responsible managers will review competencies with position incumbents.
