About this role:

This role specifically supports the Marketing & Communications Senior Category Senior Category Manager within Procurement, overseeing GPM, GDM, R&A, GSSO – Global Marketing, Sales, Consulting, GSD, Conference Marketing, and Corporate Communications purchases. It involves independently leading all low-complexity, low-dollar value contract engagements without frequent oversight. The position promotes compliance with Gartner’s procurement policies and ensures efficient management of the supply base, making strong recommendations to business units (BUs) when an existing supplier can fulfill their needs. The role also requires constant review of the supply base to prevent duplicate suppliers, ensuring all requests and contract details are up-to-date and accurate. There is potential for growth into an Associate Category Manager role.

What you will do:

New Supplier Set-up:

Collaborate with Category Managers to review and finalize new supplier setup requests from BUs for suppliers in S2C-managed categories, using Gartner’s Procure-to-Pay (P2P) solution for transactions meeting the S2C involvement threshold (currently $50K).Monitor and ensure proper categorization of new supplier setups for those with spend below $50K, with a strong understanding of all marketing categories.Advise Category Managers on new suppliers established within their areas of responsibility.Coordinate with BUs to optimize the use of preferred, previously contracted, small/diverse suppliers, and those with sustainability programs. Confidently challenge BUs when necessary to prevent unnecessary expansion of the supplier base and conduct internal reviews to identify existing similar suppliers.Consistently evaluate the marketing and communications supply base to prevent duplicate suppliers across multiple BUs and lead discussions on reducing the supplier footprint.Review, approve, or escalate Supplier Onboarding exceptions related to the Supplier Code of Conduct.Maintain and update new supplier information in Gartner’s Contract Lifecycle Management (CLM) solution to ensure alignment with the P2P system, avoiding duplicate profiles. Proactively inform Category Managers if a marketing supplier has been acquired by a larger entity and explore opportunities for enterprise-level agreements.

Requisition Approval:

Serve as the final approver for requisitions from BUs in S2C-managed categories using Gartner’s Procure-to-Pay (P2P) solution, ensuring compliance with the S2C involvement threshold (currently $50K).Act as the primary contact for category managers, guiding BUs through the requisition process and providing education beyond the FAQ documents on how to submit requisitions effectively.Validate and update contract information, including supplier name, descriptions, amounts, payment terms, and category assignments, to ensure all spend is properly managed.Ensure BUs upload duplicate contracts into the Contract Lifecycle Management (CLM) system before submitting a requisition when S2C involvement is required (currently $50K).Collaborate with Category Managers on sourcing and contract initiatives to determine the timing of requisition approvals and the appropriate delivery method for the approved purchase order (PO) to the supplier.Monitor requisitions below $50K to maximize the use of preferred, previously contracted, small/diverse suppliers, and those with sustainability programs. Keep a close eye on these requisitions to ensure BUs are following the process correctly.Oversee requisitions in S2C out-of-scope categories to ensure the correct category assignment for the requisition spend.

Contract Reviews & Sourcing:

Support and conduct Nondisclosure Agreement (NDA) negotiations as needed.Facilitate Proof of Concept Trial Agreement negotiations, particularly for AI services, recognizing the growing importance of these agreements. Ensure AI language is included in all relevant T&Cs as AI is significant in the marketing space.Conduct low-complexity, low-dollar contract negotiations swiftly, as this category processes the highest volume of agreements. Execute agreements in a fast manner and keep BUs updated on where you are in the negotiation process.Maintain a detail-oriented approach in reviewing all contract details, ensuring all requests and contracts are up-to-date and accurate.Possess a strong understanding of key contract clauses, including indemnification, limitation of liability, data privacy, and confidentiality. Ensure our T&Cs are accurate for data buys, including who Gartner uses that data.Execute Request for Quote (RFQ), Request for Information (RFI), and Request for Proposal (RFP) initiatives to achieve cost savings, in collaboration with the appropriate Category Manager and BU. Be proactive in finding efficiency areas, such as where multiple order forms with the same supplier can be consolidated under one order form with enterprise-level rates for cost savings.Ensure a contract ticket is created for all agreements that sourcing is involved with, promoting visibility and transparency with all partners.Proactively identify opportunities where sourcing can empower BUs to lead their own negotiations when there is minimal room for sourcing to add value. Educate BUs on how to effectively manage these negotiations independently.Ensure the use of Gartner's name is in all our contracts we sign since the marketing supplier base is notorious for wanting to use Gartner's name on their client list.

Other Responsibilities:

Develop supplier catalogs and requisition forms as required to streamline procurement processes, including enterprise-level agreements for cost savings. Explore opportunities for retained order forms where BUs can pull from throughout the year instead of issuing on a per SOW level.Oversee the Supplier Source-to-Contract Mailbox, addressing inquiries from business units (BUs) promptly and effectively.Maintain the S2C taxonomy file and P2P Approval Groups, ensuring they are updated to reflect the frequent reorganizations within marketing and communications organizations.Lead and support process improvement initiatives for the Source-to-Contract (S2C) and Procure-to-Pay (P2P) teams to enhance efficiency and effectiveness. Make efficiency recommendations to the senior category manager to cut out the bottom line.Manage Buyer monthly reports, providing valuable insights to S2C Leadership for informed decision-making.Support implementation of new modules and AI enhancements to the Contract Lifecycle Management solution.

What you will need:

Bachelor’s Degree required.Proven 1-2 years’ experience in a high-performing organization, with a successful track record in procurement, sourcing, and contracting.Strong attention to detail and excellent negotiation skills. Ensure confident negotiation of T&Cs and experience with marketing and communications business units.Knowledge of corporate marketing and communications structures and purchasing behaviors, including data purchasing experience for AIP access and dashboard access via login or license buy.Exceptional business writing and communication skills in English.Ability to educate partners on the procurement process, with strong analytical and problem-solving skills.Adaptability to a constantly changing environment and strong interpersonal skills.Effective team player with the ability to build robust internal and external business partnerships.Proficiency in communicating with a diverse audience across various levels, countries, and cultures within the organization.Effective listening skills and excellent customer service abilities.Strong capability to work independently and prioritize tasks in a fast-paced, high-pressure environment.System proficiency with modern, cloud-based Procure-to-Pay, eSourcing, Contract Lifecycle Management, and Spend Analytics solutions, preferably with experience in DocuSign, Coupa, and Conga.Proficiency in Microsoft Excel, Word, and Outlook, with excellent oral and written communication skills.Possess SaaS experience to effectively manage software procurement and integration.Candidates who can speak multiple languages are encouraged to apply.
