Business Support Assistant, Corporate Legal Solutions  
Location: Jersey
Schedule:  Monday to Friday 35 hours per week

Intro:

 

As part of a centralised team, the Business Support Assistant will provide high level, comprehensive and confidential administrative assistance to support two board level directors and the wider senior management team.

Our aim is to provide a seamless, efficient, and paperless service to internal and external clients with service excellence at the heart of all that we do.

 

Some of the things you will be doing:

Maintain calendars, schedule, plan and organise logistics for meetings/events/conference calls Prepare/review/summarise/proof-read/distribute presentations, agendas, reports, documents and correspondence Travel and itinerary co-ordination, providing an end-to-end service Act as the focal point between internal and external stakeholders and determine appropriate courses of action Co-ordinate and partake in project-based work Assist with reasonable tasks associated with the role, including working closely with and assisting other team members Set up, attend and record action points for team meetings (management / all team) for directors Assist with the completion of timesheets for directors  Process expenses for directors  Assist with financial and new business management information Organise logistics for business development and client meetings  Ensure the CRM (Salesforce) system up to date and track the new business pipeline Assist with new business proposals and pitch documentation for prospective clients and/or intermediaries Work as part of the team to provide administrative and office support  Assist with internal and external event planning Co-ordinate and partake in project-based work Assist local committees such as (but not limited to) social, CSR, Diversity & Inclusion etc.  Ensure that all work is conducted in accordance with Group internal procedures Ensure the shared electronic filing system is accurately kept up to date

 

What technical skills, experience, and qualifications do you need:

A positive, open, collaborative, “can do” attitude.  Self-motivated and highly professional, with the ability to take on responsibility and proactively find solutions to suit all parties Ability to work proactively, anticipating needs, managing workload independently with little supervision and achieving goals and deadlines Experience in a similar role with exposure to supporting senior leadership To maintain the highest standards of confidentiality and security  Monitoring your own performance against personal and development targets Be adaptable and flexible in approach  Effective team player who is able to work well as a team and on their own An understanding of and enthusiasm for supporting professional business development activities  Excellent systems knowledge to include experience working with CRM systems such as SalesForce and online fee proposal generation tools  Experience in organising smaller adhoc client events and entertainment  An awareness of working across different time zones Strong academic background Have an intertest in commercial and new business  Advanced knowledge of Microsoft office (PowerPoint) product suite, internet and email systems Excellent organisational and planning skills Exceptional interpersonal, communication and networking skills Outstanding attention to detail and accuracy Excellent client relationship building skills
