PurposeThe Business Services Coordinator oversees administrative operations of four Working Professional & Executive MBA programs, focusing on student billing, course scheduling, and registration. This role ensures seamless academic and financial experiences for students while coordinating with university staff and information systems. The coordinator will supervise a senior administrative associate.
ResponsibilitiesStudent Billing Management & Supervision
Oversee and mentor a senior administrative associate responsible for day-to-day student billing operationsMaintain, develop and implement billing policies and procedures to ensure efficiency and accuracyCoordinate with UT Veteran Certification office and MBA Financial Aid team members to support accurate disbursal of student military benefits and federal aidReview and approve complex billing cases, refunds, and payment plansConduct new student orientation presentations on billing and payment proceduresPerform regular performance evaluations for the senior administrative associate.Course Scheduling & Registration
Oversee course schedule updates and course inventory managementRegister students in classes and resolve registration issuesAdminister course restrictions, degree audits, and scholastic warning reports.Manage student withdrawals, add/drop requests, leaves of absence, program transfers and other special registration issuesCommunication & Collaboration
Manage shared email inbox and liaise with IT, registrar, financial aid, veteran certification, graduate admissions officesUpdate staff on registration deadlines, billing policies, and related informationMaintain accurate academic recordsAdvise staff members on student billing, course scheduling, registration and related mattersStrategic Initiatives
Provide feedback on current processesSupport planning and implementation of process improvementsContribute to departmental goal-setting and strategic planningPerform other duties as assigned.Required QualificationsBachelor's degree and five years of experience in higher education administration, financial services, or program coordinationStrong analytical and communication skillsAbility to work flexible hours during peak periods, including evening and weekendsRelevant education and experience may be substituted as appropriate.
Preferred QualificationsExperience with MBA or graduate-level program supportKnowledge of UT Austin billing protocols and FERPA regulationsProficiency in Microsoft Office Suite and UT Austin information systems (e.g., Mainframe, DEFINE)Demonstrated service-oriented approach and adaptability Proven ability to manage multiple projects concurrently with precisionExcellent organizational, communication, and interpersonal skillsStrong attention to detailSalary Range$55,000 - $65,000 depending on qualifications
